Personal Assistant
JOB BAND: B CONTRACT TYPE: Permanent, Full-time. DEPARTMENT: Group Strategy and Transformation LOCATION: London - 3 working days in the office with the remainder hybrid working PROPOSED SALARY RANGE: £30,000 - £35,000pa plus London Weighting (£5,319pa), depending on relevant skills, knowledge and experience. The expected salary range for this role reflects internal benchmarking and external market insights. We're happy to discuss flexible working. PURPOSE OF THE ROLE Our team sits at the heart of the BBC’s decision-making process and influences the BBC’s long-term future. We act as an independent advisor to BBC leadership including the BBC’s Executive Committee and the BBC Board, helping develop creative and practical ideas for how our services should evolve. The Strategy & Transformation division also includes the BBC’s Generative AI team, who work with the whole BBC on exploring and implementing new AI technologies. You will join a small team of PAs, providing high-level administrative and organisational support to senior leaders across Strategy & Transformation. You will manage busy and complex diaries, liaising with a wide range of people internal and external to the BBC to help ensure the team runs smoothly. This is a very exciting time to join our team! We have a leading role in the BBC’s Charter review process – crucial work which will determine the BBC’s future structure, purpose, and funding. We are a future-focused team, at the forefront of the development of new services (e.g. iPlayer and Sounds), using data and insight to help make decisions where the answers may not be highly obvious. YOUR KEY RESPONSIBILITIES AND IMPACT:
- Manage busy, complex diaries for our senior leaders, optimising them to align with individual working styles and enable efficient time utilisation
- Coordinate and book travel arrangements and itineraries
- Support document preparation, including meeting agendas and presentations
- Liaise with internal departments and external stakeholders on behalf of the senior managers
- Use BBC finance, training, IT and other systems as appropriate
- Handle confidential correspondence and documentation with discretion.
YOUR SKILLS AND EXPERIENCE
ESSENTIAL CRITERIA:- Substantial experience working as a PA to multiple senior level managers within a large matrix organisation, including managing complex diaries.
- Exceptional organisational skills with the ability to manage multiple competing priorities and deadlines with great attention to detail.
- Proven ability to interact confidently and professionally with stakeholders at all levels, with excellent verbal and written communication skills.
- Advanced knowledge of Microsoft Office Suite – in particular Outlook, but also Word, Excel and PowerPoint.
- Proactive approach to anticipating needs and resolving issues before they arise, with ability to work independently, use own initiative and make sound decisions under pressure, escalating to others as necessary.
DESIRED BUT NOT REQUIRED:
- An interest in strategy and how the BBC can adapt and transform to meet the needs of future audiences
- Experience of carrying out a range of business support/team assistant activities
