E-Commerce & Operations Associate
Kai Collective is looking for a full-time E-Commerce & Operations Associate to join the team in London.
As a core part of the e-commerce function, owning key operations and administrative tasks, the successful applicant will manage day-to-day online store tasks, work closely with our 3PL partner to ensure smooth fulfilment and logistics, handle general office and admin tasks, and support customer service escalations, ensuring a consistent and high-quality experience for our customers and keeping the brand functioning at its best.
Responsibilities of the E-Commerce & Operations Associate:
- Manage daily e-commerce administration, including product uploads, inventory checks, pricing updates, and Shopify support.
- Act as the primary liaison with our 3PL partner to manage order flows, returns, stock reports, issue escalation and resolution.
- Support operations of 3PL fulfilment platforms, maintaining accurate inventory statuses, shipment tracking and data integrity.
- Monitor order fulfilment performance and help troubleshoot discrepancies with internal teams and 3PL.
- Monitor and respond to customer service enquiries, related to orders, delivery queries, returns & exchanges, ensuring timely, thoughtful responses.
- Help prepare regular operational performance and inventory reporting.
- Assist in order management workflows and continuous process improvements.
- Collaborate with cross-functional teams (marketing and product) to support launches, promotions and updates to align operational needs with business priorities.
- General office support, including documentation, file management, and task coordination as required.
What Kai Collective is looking for:
- Experience in fashion, lifestyle or direct-to-consumer e-commerce brands.
- Experience with 3PL and logistics coordination and understanding of warehouse operations, fulfilment partners, and stock movements.
- Proficient with Mintsoft and/or Extensiv, Shopify, Google Suite(Sheets/Drive) and inventory platforms.
- Strong communicator with excellent customer service skills and can manage queries, provide clear solutions, and confidently handle escalations.
- Highly organised, detail-oriented and able to manage multiple priorities in a fast-paced environment.

- Comfortable multitasking across e-commerce, operations, and administrative duties.
- Experience with order management systems and workflow optimisation is a plus.
