About the role
We are looking for a highly organised and proactive Operations Associate to support Shop Circle’s founders and senior leadership team. This position blends operational excellence, executive support, HR coordination, and cross-functional collaboration across our Milan, London, and Sarajevo offices. You will be the operational heartbeat of the organisation, ensuring everything runs smoothly day to day while helping us build systems that scale.
What you’ll do
- Provide high-level support to the Founders and senior executives across multiple time zones.
- Manage complex calendars, travel schedules, and logistics for leadership.
- Coordinate and support general managers across our portfolio companies.
- Organise company events, off-sites, and leadership meetings, managing logistics end-to-end.
- Oversee office operations, including supplies, vendors, and workspace needs.
- Assist with light finance tasks such as expense tracking, invoicing, and reconciliations.
- Maintain and update internal CRM systems and shared documentation.
- Support basic HR and people operations tasks such as onboarding, contract coordination, and maintaining employee records.
- Act as the point of contact between teams in London, Milan, and Sarajevo to ensure alignment and smooth communication.
- Manage and nurture external relationships with vendors and service providers.
About you
- 4–7 years of professional experience, ideally in a fast-paced environment.
- University degree in business, management, or a related field.
- Previous experience in a tech or high-growth company is a strong plus.
- Strong multitasking and prioritization skills; able to manage multiple workstreams independently.
- Excellent written and verbal communication skills in English (Italian is a plus).
- Familiarity with HR or administrative systems (onboarding, contracts, or HRIS tools) is appreciated.
- Proactive, detail-oriented, and dependable under pressure.
- Thrives in a dynamic, international environment and enjoys supporting ambitious teams.
