Facilities Coordinator
The Facilities Coordinator will assist the Senior Facilities Manager with operational activities in accounting, finance, maintenance, operations, vendor oversight, purchasing of material, equipment and supplies, occupancy services and helpdesk. The Facilities Coordinator is also required to provide administrative support to the team and be able to manage large building operations; What your day-to-day will look like:
Effectively manage relationship to meet on-site client’s expectations
Management of ‘soft services’ and additional services provided to the client
Vendor and Contract Management including meetings as required.
Ensure staff, contractors and visitors comply with health and safety guidelines, policies and rules.
Ensure appropriate contractor Permits & Safe Work Method Statements (SWMS) are in place and approved prior to works being undertaken on site
Manage all Preventative Maintenance schedules, including the efficient completion of Work Requests on database.
Conduct site inspections and assessments to ensure all building procedures and performance measures are complied with
Seek ways to constantly reduce costs and improve operational standards
Support requests associated with Jones Lang LaSalle Management, Operations and Financial audits Required Knowledge, Skills & Abilities Able to cooperate and work well with others to meet targets;
Able to interact with all levels of DFAT and diplomatic staff and vendors confidently;
Goal-oriented – able to focus on meeting all performance targets;
Problem-solving skills – capacity to deal with ambiguity and solve complex problems effectively;
Able to work independently and responsibly with minimal supervision.
Prioritize and manage the completion of operational works in an efficient and timely manner.
Ability to quickly learn how to use any Company required software
Basic business finance knowledge preferred #LI-JA1
