Digital Patient Services Apprentice
Barony Medical Practice in Springburn is seeking a warm, professional, and highly organised individual to join its friendly and supportive team. This role offers an excellent development opportunity, as you will also work toward achieving the SCQF Level 6 Diploma in Digital Applications Support, gaining valuable digital and administrative skills alongside hands-on practice experience.
As the first point of contact for patients, you will play a vital role in delivering excellent service and ensuring smooth, efficient daily operations. The position involves managing patient enquiries, supporting clinical workflows, and maintaining accurate digital records within a fast-paced environment.
Responsibilities:
- Act as the first point of contact for patients, doctors, and nurses, managing enquiries across Microsoft Teams, Outlook, and telephone channels
- Triage calls where appropriate and ensure all communication is accurately recorded and directed to the correct person or service
- Provide clear, professional, and supportive communication to patients throughout their visit or interaction
- Maintain and update the digital appointment system (Vision), including booking, amending, and cancelling appointments
- Handle urgent appointment requests efficiently and appropriately
- Use DOCMAN daily to manage patient records, action clinical tasks, upload correspondence, and ensure accurate and timely electronic filing
- Set up new patients on the clinical system, support registration processes, and ensure all digital protocols are followed correctly
- Process repeat prescriptions and private service requests using practice digital systems, ensuring accuracy and compliance
- Monitor and manage digital task lists within Vision and DOCMAN, including notifying the Health Board of deceased patients and ensuring all messages are actioned
- Support the wider practice team with digital administration tasks, email management, and maintaining up‑to‑date filing systems

Salary: £11,648 - £18,506 per annum (depending on age)
Working hours: Part time, 28 hours per week over 5 days
