Could you be our Project Administrator to work in the railway sector in Wimbledon?

 

 

Your Future Role

Support and work as part of a small team responsible for all material supply and technical support (Technical Support and Services for Supply Availability) for the Class 701 AVENTRA trains operating from the Wimbledon maintenance depot. You will provide administrative support to the management team. You will organise travel and accommodation for staff as required, raise Purchase Orders for Non-Product Related items, handle invoicing and manage their completion, deal with local IT and office equipment issues, and liaise with the Human Resources (HR) team regarding HR concerns.

 

We'll also look to you to:

  • Ensure that all members of the Project Core Team are provided with good working conditions.
  • Ensure that all shared facilities (office, meeting rooms, etc.) are well used and maintained in good condition.
  • Organise all business travel.
  • Manage all processes required for Project Core Team members to gain access to the Alstom standard Information and Business Systems and provide associated training where applicable.
  • Ensure new starters are fully equipped with the required access, IT hardware, phones, workwear, etc., on their first day.
  • Manage the General Notice Board and keep it up to date with policies, briefs, notices, and more.
  • Administer Non-Product Related orders in compliance with the defined directives and procedures from the Non-Product Related Procurement team (e.g., office-based items, phones, workwear, personal protective equipment, standard tools, vehicle hire, etc.).
  • Provide general support to the Project Manager to arrange meetings, organise project events (internal and external), administer project documentation (including customer correspondence), and provide assistance and support for reports and presentations as required; provide administrative support to the Project Manager and take Core Project Team meeting minutes on behalf of the Project Manager.
  • Be the first contact for depot visitors to Alstom. Provide inductions to visitors as required and manage the visitors' register.
