 Temp role - 2 weeks working from 27th June 2025 to 11th July 2025
8.30am to 5pm 
 Paddington Office 
To provide an exceptional welcome experience by being the first contact for all visitors and customers. To coordinate travel, accommodation and catering as required and complete any ad hoc administrative support as required to colleagues and customers within the London office.
Role:
- Receiving visitors at the front desk, welcoming, directing and announcing them including appropriately notifying company personnel of visitor arrival.
- Sign in visitors, ensuring they have the appropriate visitor & wifi passes and safety briefings.
- Co-Ordinate colleague ID and Visitor badges as required.
- Provide exceptional service for all telephone calls into reception and direct to the appropriate departments or individuals taking accountability for messages/actions if not available.
- Arrange and co-ordinate travel and accommodation for colleagues and customers as required
- Organise catering for events and meetings and manage supplier relationship
- Ensure all meeting rooms are set up, appropriately stocked with stationery and technology requirements are met to allow meetings to run smoothly.
- Ownership for managing and dealing with all incoming and outgoing mail, couriers and deliveries. Sorting on arrival/for dispatch in a timely fashion.
- Monitor general email inbox, forwarding emails to relevant departments for action.
- Liaise with building management to ensure any issues are resolved in a timely fashion and manage this relationship.
- Liaise with cleaning company to ensure the office cleaning is undertaker and maintained to a high standard and manage this relationship.
- Ensure the stationery cupboard is well stocked (including the supplies for the printer) and order additional supplies as required or requested.
- Issue contractor permits to work.
- Manage accident recording via the accident book as required.
- Co-ordinate and manage all invoice processes that support administration, catering, travel and supplies within the London office.
- Perform any other clerical duties necessary to keep the office running and to support London based personnel.
