Location: We have hybrid working in place, with 2 days per week, in our office in Canary Wharf.


What exactly will you be doing?

As the EA and Business Manager to Executive Director, you will play a pivotal role in supporting the operational and strategic effectiveness of the portfolio. Acting as a trusted advisor and partner, you will oversee the Executive Director’s administrative and business activities, ensuring smooth day-to-day operations. This includes proactive diary and inbox management, facilitating cross-functional communication, and supporting governance processes. You will also mentor and develop a Business Administrator and champion continuous improvement initiatives across the portfolio.


Major objectives

Your major objectives will include:

Provide comprehensive administrative support to the Executive Director, including managing their calendar, tasks, and correspondence.
Facilitate effective communication and collaboration across internal teams and external stakeholders.
Prepare high-quality briefing materials, reports, and presentations for executive meetings and committees.
Ensure the smooth running of meetings and events, including logistics coordination.
Manage governance activities such as committee and panel documentation and compliance tracking.
Mentor and manage the Business Administrator, fostering their development and productivity.
Implement and refine administrative processes to drive efficiency and enhance operational effectiveness.

What are we looking for?


Proven experience in senior-level executive support roles.
Proficiency in Microsoft 365 tools, including Teams, SharePoint, Word, and PowerPoint.
Exceptional organisational and diary management skills, with strong attention to detail.
Excellent communication and diplomacy skills, with the ability to liaise effectively with a range of stakeholders.
Knowledge of governance principles and experience supporting Boards or committees.
Ability to manage sensitive information with discretion and professionalism.
A proactive, problem-solving mindset with the ability to work independently and collaboratively.
