Temporary Residential Leasing Coordinator
The Role in Detail
You'll be working across multiple high-end residential sites, supporting the successful lease-up of luxury apartments and providing essential operational support during peak letting season (through to October). This hands-on role offers exceptional variety and the opportunity to work with prestigious developments featuring unparalleled amenities.
Primary Responsibilities:Lettings Coordination & Agent Management:
- Coordinate closely with leading letting agents (including major firms) to ensure seamless lease progressions
- Monitor and quality-check all property listings and marketing materials
- Liaise with agent progression teams to track applications through to completion
- Conduct regular site visits to meet with agents and review processes
- Ensure all viewings are properly coordinated and feedback is captured
Systems & Data Management:
- Manage accurate data input across multiple property management systems
- Coordinate between letting platforms and internal accounting packages
- Perform quality assurance checks on automatically generated tenancy documents
- Maintain comprehensive records of all lettings activity and pipeline
- Handle manual data reconciliation where system integration is limited
Tenancy Administration:
- Oversee tenant referencing processes and documentation requirements
- Coordinate with external referencing providers to ensure timely completions
- Process tenancy agreements and ensure all compliance requirements are met
- Manage deposit registrations and rental collection processes
- Handle tenancy renewals and extensions as required
Portfolio Support:
- Provide operational support across multiple residential assets
- Cover holiday periods and peak demand periods
- Support property management teams with tenant-related queries
- Assist with new tenant move-ins and orientation processes
- Help manage relationships with existing tenants and resolve issues
Strategic Project Work:
- Identify process improvements and efficiency opportunities
- Support with ad-hoc projects to enhance operational effectiveness
- Assist with portfolio expansion and new development preparations
- Provide market intelligence and competitor analysis
- Residential Property Background: Minimum 2-3 years in residential lettings, property management, or BTR operations
- Agent Coordination: Proven experience working with letting agents and managing progression teams
- Systems Proficiency: Comfortable with property management software and databases
- Tenancy Knowledge: Strong understanding of tenancy processes, referencing, and compliance requirements
- Administrative Excellence: High attention to detail with strong organizational skills
- Experience with luxury/premium residential developments
- Knowledge of London rental market and prime locations
- Familiarity with deposit protection schemes and rental legislation
- Experience with multiple property management systems
- Background in BTR (Build to Rent) operations
- Previous temporary or contract work experience
