Crew Coordinator
Make the extraordinary, everlasting - with us.
At EC, we craft extraordinary experiences that leave a lasting impression - not just for our clients, but for our people too. We blend the big ideas of a creative agency with the meticulous execution of a production company, bringing bold, imaginative events to life.
We’re collaborative, down-to-earth, and serious about delivering quality - all while finding time for lightness and fun. If you’re someone who’s curious, adaptable and excited to do meaningful work with a team that’s got your back, we’d love to hear from you.
About the Role
We're looking for a Crew Coordinator to join our team. Reporting into our Head of Crewing, you'll play a key role in ensuring our events are adequately crewed, transport and logistics are coordinated for our freelance teams, and that our crew feel supported, informed, and ready to deliver exceptional events.
As part of a fast-paced and collaborative team, you'll help maintain crew resources, support event delivery planning, coordinate travel and logistics, and ensure all crew administration and compliance requirements are managed accurately and efficiently
You'll Thrive Here If You…
Demonstrate excellent organisational skills, with strong written, verbal and numerical communication abilities.
Can build positive working relationships and communicate confidently with freelancers, suppliers, venues and internal stakeholders.
Are comfortable working independently whilst contributing proactively as part of a collaborative team.
Thrive in a fast-paced environment, managing multiple priorities and tight deadlines without compromising accuracy or attention to detail.
Take a solutions-focused approach, remain calm under pressure and can resolve issues quickly and efficiently.
Are adaptable and responsive to changing event requirements, often managing last-minute requests and schedule changes.
Have a positive, can-do attitude and enjoy supporting others to achieve a successful outcome.
Are confident using Microsoft Office and database/resource planning systems, with strong administration skills.
Understand the importance of handling confidential and sensitive information professionally and with discretion.
Previous experience in a similar role is preferred but not essential
You don’t have to tick every box - we care just as much about curiosity, adaptability and a growth mindset as we do experience on paper.
What You'll Be Doing
Booking freelance staff and local crew, ensuring all project information is correctly communicated
Maintain accurate crew database, including personal details, contact details and rates, across all relevant systems
Update and maintain crew availability within the resource planning system
Monitor crew compliance, ensuring right-to-work documentation, Public Liability Insurance and other certifications remain valid and up to date
Co-ordinating freelancer inductions
Liaise with crewing suppliers to obtain resource lists and prepare security lists for each event
Managing changes to events following confirmation.
Coordinate travel and accommodation for crew using the company's travel booking platform, where required
Attend internal pre-production meetings to oversee a full sense check
Collating and distributing project related information (H&S documentation, Plans, Briefings & Security details)
Managing purchase orders for bookings
Work closely with the Finance team to ensure crew payments are processed on time and to resolve invoice queries
Communicating with our crew, internal clients, and venues
Manage and maintain records of crew uniform allocation and usage
Supporting the wider team with ad hoc tasks as required.
