Key Duties for the Team EA

  • Comprehensive diary management for the Corporate Credit team, including scheduling calls, internal/external meetings, video conference calls, travel bookings, annual leave, remote working, and managing diary invitations with utmost confidentiality and discretion.
  • Completion of work-related expense reports for Corporate Credit team members.
  • Detailed organisation and documentation of all travel arrangements, ensuring clear and accurate communication with our external travel booking team.
  • Organisation of team events.
  • Coordination with global staff, external service providers, and other relevant parties as needed.
  • Maintenance of the HR System - concerning holiday/travel/other absences input and approval.
  • Liaise with IT for troubleshooting or equipment requisitions.
  • Maintenance of the Business Continuity Plan (BCP) for the Corporate Credit team, attending interviews, and ensuring the accuracy of the team call-out tree.
  • General office administration tasks, including photocopying and scanning.
  • Manage calls professionally for the equities team as required, ensuring accurate communication and message delivery.
  • Cost management, including creating and managing a database of third-party service/research providers, reviewing/reconciling invoices, and identifying potential efficiencies.
  • Collaborate with HR and IT to facilitate a seamless onboarding process for new team members.
  • Perform PA duties and administrative tasks as necessary, e.g., temporary reception cover, if required.

  • Proven experience as an Executive Assistant or similar role.
  • Excellent organizational and time-management skills.
  • Strong communication and interpersonal abilities.
  • Proficiency in MS Office and other relevant software.
  • Ability to handle confidential information with discretion.
  • Flexibility and adaptability to changing priorities.
