The Security Division protects the Bank's people, assets, and operations from physical, personnel, and reputational threats. This includes vetting, travel support, threat management, and protective security across our estate. The Division works closely with internal and external partners to ensure the Bank remains resilient and secure in a rapidly evolving risk landscape.

We are seeking an enthusiastic and proactive administrator to provide executive support to the incoming Head of Security and contribute to the smooth running of our small and collaborative division. This is an exciting opportunity for someone looking to develop their administrative career in a dynamic and fast‑moving environment.

Reporting to the Senior Manager, Advisory Services, you'll play a key role in coordinating divisional activity that empower the Security Division, managing the Head of Security's diary, and acting as a trusted point of contact for the division. The role offers a varied and interesting workload with opportunities to demonstrate initiative and contribute to divisional success. The role will suit someone who is well-organised, a good communicator, confident liaising at all levels, inquisitive, and able to work effectively within a team.

Due to the nature of this position, applicants will be subject to an enhanced screening and vetting process.

Executive Support

  • Manage the Head of Security's diary, prioritising meetings and ensuring effective time management.
  • Monitor and triage the Head of Security's inbox, using judgement to delegate, escalate, or respond as appropriate.
  • Support the coordination of domestic and international travel, including expense processing.

Divisional Administration

  • Maintain divisional meeting schedules, action trackers, and document version control.
  • Schedule key meetings, prepare agendas and papers, and take accurate minutes and actions.
  • Support divisional reporting and dashboards.
  • Maintain intranet pages and divisional records, ensuring information is up to date and accessible.

Operational Support

  • Assist with recruitment logistics, including interview scheduling and preparation of interview packs.
  • Coordinate onboarding materials and training logistics for new joiners.
  • Support divisional compliance with internal processes, including Joiner/Mover/Leaver procedure.
  • Support the Division by maintaining key documents and helping with routine and appropriate security tasks, such as checking photos are OK to be used externally.

Role Requirements

Minimum Criteria

  • Previous experience providing administrative support to senior managers or leadership teams.
  • Demonstrable experience managing complex diaries, including rearranging priorities and handling frequent schedule changes.
  • Proven ability to manage multiple tasks simultaneously, with examples of meeting tight or conflicting deadlines.
  • Previous experience handling confidential information, with a track record of exercising discretion and professional judgement.
  • Strong written and verbal communication skills, evidenced through drafting emails, preparing documents, or liaising with stakeholders.
  • Ability to work independently, taking initiative to resolve issues or progress tasks without close supervision.
  • Evidence of being reliable, detail‑focused, and accurate, such as maintaining error‑free records or documents.
  • Demonstrable proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint) and collaboration tools such as Teams or SharePoint.

Desirable Criteria

  • Proven ability of adapting quickly to changing priorities, workloads, or team needs.
  • Demonstrates a practical, solutions‑focused approach - e.g., streamlining tasks, removing blockers, or improving efficiency.
  • Evidence of contributing positively to team culture, such as supporting colleagues, sharing knowledge, or helping deliver shared goals.
  • Experience supporting teams with governance, compliance, or risk‑related work (e.g., preparing papers, tracking actions, maintaining documentation).
  • Proven ability to stay organised and maintain accuracy in fast‑paced or high‑volume environments.

Salary and Benefits Information Location: London We offer a salary in circa of £28,640 - £32,220, per annum (depending on skills and experience). We encourage flexible working, part time working and job share arrangements. Part time salary and benefits will be on a pro-rated basis as appropriate. In addition, we also offer a comprehensive benefits package as detailed below:
  • Currently a non-contributory, career average pension giving you a guaranteed retirement benefit of 1/80th of your annual salary for every year worked. There is the option to increase your pension (to 1/65th) or decrease (to 1/105th) in exchange for salary through our flexible benefits programme each year. The Bank has the discretion to vary standard accrual rates and dial up and dial down rates at any time and to withdraw dial up and dial down options at any time.
  • A discretionary performance award based on a current award pool.
  • An 8% benefits allowance with the option to take as salary or purchase a wide range of flexible benefits.
  • 26 days' annual leave with option to buy up to 12 additional days through flexible benefits.
  • Private medical insurance and income protection.
National Security Vetting Process Employment in this role will be subject to the National Security Vetting clearance process (and typically can take between 6 to 12 weeks post offer) and the passing of additional Bank security checks in accordance with the Bank policy.
