We offer you a team-oriented role working with Managing Directors & (Senior) Partners (MDP) and Partners within the London, Amsterdam or Brussels offices. Reporting to the Team Assistant Manager or Senior Managers, this position would suit a detail driven individual with excellent technical skills and a willingness to take on anything thrown their way. This is a fast-paced organizational role in an environment to match, so the ability to hit the ground running is a must! Flexibility, enthusiasm and a ‘can-do’ attitude are essential, and above all a passion for doing a job well.
This role will be focused on providing cover across the wider EA team in relation to planned and unplanned team absences. You will therefore be a trusted partner, providing a variety of MDPs and Partners with comprehensive support to successfully service BCG clients. You will need to act as the gatekeeper of their time, increasing their work efficiency and helping them to drive business performance. You will represent BCG through professionalism by offering a unique level of service.
As a successful candidate you will take on responsibilities including but not limited to those listed below:
- Client focus (maximise client focus by reducing stakeholder time spent on administrative tasks):
- Manage highly complex calendars to schedule client meetings, case team meetings and events.
- Effectively prioritise client needs (both within and across different client teams)
- Planning and management of complex travel/logistics/itineraries including timely procurement of visas and other travel documentation
- Preparing and submitting time and expense reports within a timely period
- Tracking, updating and managing client contact information
- Team with other EAs/Staff members to ensure casework is effectively coordinated
- Proactively manage internal commitments and effectively manage prioritisation of same
- Networking (proactively establish meaningful, long-term client relationships with key counterparts and across internal networks):
- Build and maintain strong relationships with key client counterparts
- Organise team dinners, breakfasts and events when required
- Support Practice Area (PA) events as necessary and assist with building the PA community
- Proactive Time Management (protect MDP and Partner time by understanding priorities and screening requests):
- Clear understanding of priorities, proactively prioritise and field all incoming time related requests from clients and teams across all MDP and Partner spheres of interest
- Understand the 'bigger picture' and use your business judgment and initiative to independently resolve problems with limited MDP and Partner interaction
- Deliver/Implement 'Work Smarter, Not Harder' and Teaming@BCG ways of working principles
- Marketing (help build and support digital presence and marketing efforts):
- Ensure internal bio profiles are current
- Pro-actively manage contacts
- Identify key contacts at core and campaign clients
- EA Team Support
- Provide cover across the wider EA team in relation to planned and unplanned team absences
You’re good at
- Excellent written and spoken English
- Proficient computer skills (including Microsoft Office Suite; advanced Outlook, PowerPoint, Word, and Excel)
- Excellent organisational skills to assist with all the behind-the-scenes organisation while providing creative solutions, driving our high-level customer service, and positively impacting our client work
- Ability to multi-task, prioritise and manage expectations and conflicting deadlines
- Excellent Interpersonal communication
- A progressive and positive attitude, with a flexible and growth mindset to the role
- Detail-driven
What You'll Bring
- Previous administrative assistant experience in a fast-paced environment
- A Bachelors or Masters’ degree (not required for London) and / or working experience in executive assistant duties
- Excellent organisational skills
