Operations Manager
Location: London OR Birmingham
Hours: Full-time
Salary: Negotiable
A highly regarded specialist litigation law firm is seeking a capable and hands-on Operations Manager to lead and streamline operations across large-scale group litigation matters. This newly created role offers a rare opportunity to shape operational frameworks in a dynamic legal environment.
This position is ideal for a litigation lawyer or fee earner looking to pivot into a non-fee-earning, operational leadership role. It also suits professionals from banking or consulting backgrounds (such as the Big 4) seeking to transition into legal operations—especially those who thrive on process-building, strategic thinking, and seeing the bigger picture behind complex legal delivery.
What You’ll Be Doing:
- Operational Strategy & Delivery: Build, implement, and refine operational processes to support effective management of high-volume group litigation matters.
- Project Management: Lead strategic initiatives focused on cost control, workflow efficiency, process improvement, and case logistics management.
- Process Ownership: Establish and manage key systems for handling large caseloads with complex claimant and payment requirements.
- Stakeholder Collaboration: Work closely with legal teams and business services (IT, Marketing, Accounts, HR, Compliance) across multiple offices to align operational delivery with business goals.
- Team Development: Set up the operational function and lead recruitment and management of additional operational support staff after initial embedding (within 6–12 months).
- Hands-on Execution: Proactively launch new frameworks, troubleshoot challenges, and continuously improve operational workflows.
- End-to-End Operational Management: Oversee daily management of case timelines, matter deadlines, and provide regular reports and updates to partners and stakeholders.
- Case Management Systems: Oversee and optimise case management systems to ensure efficient data handling and automation.
- Billing & Compliance: Liaise between partners, legal teams, and billing departments to ensure invoices are accurate, compliant with client requirements, and submitted on time.
- Risk & Compliance Oversight: Maintain and monitor the risk register, ensuring adherence to regulatory, financial, and internal risk protocols.
- Caseload Coordination: Drive activity through timely onboarding, matter engagement, and communication of client-specific billing and matter management needs.
- Internal Communications: Foster strong relationships across departments to ensure smooth case progression and effective information flow.
- Demonstrable experience in operational management, ideally within a class action or group litigation environment, with a strong understanding of associated risks.
- Proven track record managing complex projects with multiple stakeholders and large volumes of data and payments.
- Strong experience with case management systems and process optimisation.
- Excellent stakeholder management skills with the ability to build and maintain effective internal and external relationships.
- Ability to manage multiple deadlines in a fast-paced, dynamic environment, maintaining attention to detail and professionalism.
- Proactive, hands-on leader confident in establishing new operational functions.
- Strong communication skills for clear, concise reporting and liaison with partners, fee earners, and support teams.
- Comfortable with hybrid working and flexible travel between office locations.
- Ideal for litigators or legal professionals seeking to transition into a strategic operations role, with more exposure to legal queries than administrative tasks.
