Front of house and hospitality coordinator (Three month fixed term contract)
In this role, you’ll be the welcoming face of DCAL, being the first point of contact for all who enter our office. You'll maintain comprehensive oversight of meetings and events taking place throughout the studio, coordinate room bookings, and ensure spaces are properly prepared and maintained between sessions.You will uphold our high standards of hospitality by ensuring refreshments are readily available and that our office environment remains comfortable and presentable at all times. Working with support from the wider team, you'll coordinate internal and external hospitality and catering requests through our internal support portal.This position requires full-time presence in our London studio.ResponsibilitiesFront of house— Welcome all staff and visitors to the office and provide refreshments for key meetings
— Register and coordinate deliveries and outgoing mail
— Administer the practice calendar of events and meetings
— Manage ad hoc office requests and queries
— Monitor office supplies and place orders with suppliers as needed
— Perform opening and closing duties for the office as required (working hours 08:30 – 17:00 or 09:30 – 18:00)
— Cover for other Operational support roles during absence or annual leave
— Provide ad hoc support to the facilities managerMeeting room coordination— Maintain an overview of all meetings and events taking place in the office
— Ensure rooms are properly set up and tidied between meetings
— Assist with technical setup and troubleshoot AV equipmentHospitality— Maintain a high standard of hospitality throughout the office, reinforcing culture of all staff leaving spaces tidy and presentable
— Set up the Canteen and replenish refreshments throughout the day
— Monitor canteen inventory and order supplies from hospitality vendors as required
— Process internal and external hospitality requests via the internet portal
— Coordinate set up for studio breakfasts, lunches and social events
— Assist in the planning and preparation of key all staff office eventsSkills and Expertise— Excellent interpersonal and communication skills with a warm, welcoming demeanour
— Previous experience in a front of house, reception, or hospitality role
— Proactive problem-solving skills and ability to multitask in a fast-paced environment
— Ability to maintain composure and professionalism during busy periods
— Adaptability and willingness to assist across various office functions
