The Role
We are seeking a highly organised and proactive Admin and Operations Assistant to support the day-to-day operations of our dynamic and growing company. This role is a vital part of the Operations team and will work closely with the Operations and Talent Manager, and HR Manager, providing critical administrative and operational support across HR processes, recruitment, and wider business operations.
You will play a key role in helping to maintain smooth internal processes, ensuring documentation is accurate and up-to-date, and contributing to company-wide initiatives. This is an excellent opportunity for someone who thrives in a fast-paced, creative environment.
Responsibilities
- Assist with the onboarding of new employees and offboarding of leavers, ensuring all documentation, equipment, and access are properly managed.
- Support recruitment efforts by maintaining the applicant tracking system, scheduling interviews, and ensuring timely communication with candidates.
- Help maintain and update the HRIS system, ensuring data integrity across platforms such as Rippling (desirable).
- Track and manage employee holiday records and absences accurately
- Support the business on general administrative and operational tasks, including compliance, insurance, and company initiatives.
- Assist with the coordination and logistics of the company's office move, liaising with suppliers, contractors, and internal stakeholders.
- Liaise with external IT providers to ensure security, systems compliance, and best practices are followed.
- Maintain strict confidentiality and ensure sensitive data is handled securely at all times.
- Support the HR Manager with ongoing. ad-hoc HR projects.
- Generating monthly HR metric reports.
Skills
- Proven experience in an administrative or operations support role.
- Excellent organisational and time-management skills with the ability to prioritise and manage multiple tasks.
- High attention to detail with a methodical and diligent approach to work.
- Strong communication and interpersonal skills, able to collaborate across different teams and levels.
- Proficient in Google Workspace, Microsoft Office Suite, and project management tools (e.g. Asana, Trello, or similar)
- Desirable: experience with Rippling or similar HRIS systems
