The Role The Business Support Manager sits at the heart of our office; helping to create an environment where colleagues feel welcome, supported and able to do their best work. You’ll take ownership of the day-to-day running of the workplace, making sure it is safe, compliant, well organised and fit for purpose. This includes office operations, facilities management, health & safety, and supplier coordination (e.g., cleaning contractors), as well as being a clear point of contact who communicates proactively and keeps things running smoothly.
Key Responsibilities:
Create and maintain a welcoming, inclusive and well-organised office environment where colleagues can do their best work—safe, compliant and fit for purpose.
Own office health & safety arrangements (including DSE, risk assessments, fire safety and first aid), communicating clearly so colleagues understand what ‘good’ looks like and feel supported.
Coordinate statutory checks (e.g., fire risk assessments, emergency lighting, PAT and fixed wire testing), keeping colleagues informed of any impacts and ensuring minimal disruption.
Manage office suppliers, contractors and service providers, building positive working relationships and holding partners to high standards of service, safety and compliance.
Liaise with landlords and managing agents to resolve building and facilities matters quickly, keeping stakeholders updated and ensuring a smooth day-to-day colleague experience.
Raise purchase orders and process invoices in line with internal procedures, ensuring suppliers are managed efficiently and colleagues have what they need
Support office-based events, visits and meetings—including being a great host on the day—so colleagues and guests feel welcome and well looked after.
Manage and control business support costs and expenses, working within budgets and making value-for-money decisions that improve the day-to-day workplace experience.
Support the delivery of organisation-wide employee events and activities (in and outside of the office), helping to build connection, culture and community.
Work closely with HR, Finance and IT on workplace-related matters, acting as a connector who balances colleague needs with practical and compliant delivery.
Maintain clear documentation to support audits, inspections and due diligence processes, keeping information easy to access and up to date.
Maintain insurance documentation and related records, ensuring the office remains appropriately covered and compliant.
Review and record external contractors’ compliance paperwork (RAMS), ensuring work is carried out safely and with minimal impact on colleagues.
Proactively identify opportunities to improve office operations and the colleague experience, gathering feedback and turning it into practical, well-managed changes.
About You:

Experience & Skills Essential :
Experience managing an office, facilities, or workplace environment, with a strong focus on colleague experience and day-to-day service delivery.
Understanding of health & safety requirements in an office setting, with the confidence to communicate guidance clearly and support colleagues to follow it.
Experience managing suppliers or contractors, including relationship management, service levels and issue resolution.
Strong organisational skills and attention to detail, alongside clear communication and confident stakeholder management.
Desirable:
IOSH Working Safely or Managing Safely qualification preferred.
Experience supporting audits or regulatory inspections.
Experience working in a regulated environment.
