Course Officer (School of Health & Medical Sciences)
The School of Health & Medical Sciences are currently looking for a Course Officer to assist with the DPysch programme.
Duties and responsibilities
Student and Programme Administration
- Respond professionally to queries from staff and students in relation to the course and all related regulations and procedures in a timely and efficient manner; to deal with any problems or issues raised, offering advice or referring them to the appropriate Department.
- Maintain the student records system (SITS) and student files, ensuring student records are up to date and accurate at all times, including processing student withdrawals, transfers and suspensions.
- Assist with the updating and distributing course handbooks and other course related material as required.
- Assist with arranging and support student induction activities.
- Create and maintain student attendance records and issue class lists to staff
- Undertake administrative processes relating to student visas in accordance with University requirements.
- Assist with modules on the University’s Virtual Learning Environment (VLE)To coordinate and manage the distribution of teaching materials to students.
- Assist in the administration of the assessment process as directed within the School. This might include providing timetabling information for examinations, liaising with External Examiners and/or arranging the distribution and submission of coursework
- Administer the marking process, distributing marking to assessors, monitoring the return of marking and feedback turnaround times and entering marks onto SITS.
- Support the administration of graduation which may include checking graduation lists, marshalling at graduation ceremonies and organising graduation receptions.
- Event support for students.
- Support students and academics in relation to student personalised timetables.
- Support the management of the Student Learning Fund and other student funding available where required .
Recruitment and Admissions
- Provide information, support and advice to enquirers and applicants, maintaining a customer focus in all communications with enquirers and prospective students (and aiming to maximise the conversion rate to registered students).
- Process applications, operate selection procedures, track and communicate decisions to students.
- Process course acceptances and deposits and monitor compliance with entry requirements.
- Validate international student qualifications in liaison with Programme Directors and Student and Academic Services.
- Provide up to date course material for publications, prospectuses, handbooks and the web and to ensure that course web pages are accurate and up to date.
Quality Assurance
- Support a range of tasks related to quality assurance, working closely with other colleagues in the School. The nature of these tasks may vary between Schools but may include: Administrative support for student surveys, annual programme evaluations and module evaluations.
- Acting as Committee Secretary to the Programme Management Committee and Student-Staff Liaison Committee and attend other Programme meetings as appropriate.
- Support for internal and external programme accreditation, approval and review processes.
- Support the administration, the arrangement of, and preparation for, Assessment Boards including preparing board reports, pass lists and statistics, ensuring data is accurate and processing student progression and awards in accordance with appropriate regulations.
- Work with Programme and Quality staff to support the administration of the Extenuating Circumstances, Academic Misconduct and Appeals processes.
Skills and experience
-Experience of working in a busy customer focussed office environment, multi- tasking and dealing with people from a wide range of backgrounds.
-Well-developed verbal and written communication skills-Excellent numeracy skills
-The ability to work with a high level of accuracy and attention to detail-Confident in the use of IT systems, particularly the use of MS office packages, spreadsheets and databases.
-Ability to analyse problems and identify potential solutions
-Excellent interpersonal skills including the ability to deal with enquiries effectively and efficiently and with tact and diplomacy
-Ability to work on own initiative and as part of a team-Ability to take a flexible and proactive approach to work
-Awareness of the standards on equality and diversity
