Client Project Coordinator / Executive Assistant
Job Title: Project Coordinator / Executive Assistant Location: Hybrid (3 days per week in-office, London) Employment Type: Full-time

The Opportunity Reporting to a highly entrepreneurial Executive within Global Leadership and Succession, the Project Coordinator will support complex, high-impact client engagements across leadership assessment, succession planning, and executive advisory services.
This role will directly support a senior Executive who works with some of the most high-profile businesses across industries, frequently engaging with Board-level stakeholders. Projects are often large-scale and multifaceted, requiring a capable and client-centric professional who can manage multiple concurrent workstreams with confidence and discretion.
Key Responsibilities:
- Serve as the central point of coordination for leadership consulting projects
- Liaise with client-side project managers and internal teams across time zones
- Lead and structure project workflows, ensuring timely delivery of all phases
- Coordinate global resources and manage external contractors as needed
- Produce high-quality client documentation and reports
- Manage meeting logistics, diary coordination, and travel arrangements
- Monitor project financials, including invoicing and receivables
- Ensure accurate data management across internal systems
- Contribute to knowledge sharing and process improvement initiatives
- EA duties such as diary management, inbox management and travel arrangements across time zones
Candidate Requirements
- Degree from an accredited institution is ideal but not essential
- 5 years + experience in project coordination, operations and EA roles
- Experience in executive search or management consultancy is essential
- Experience working across time zones is highly beneficial
- Demonstrated experience engaging with senior stakeholders, including C-suite and Boards
- Exceptional client service and stakeholder management skills
- Strong organisational skills and ability to manage multiple priorities
- Excellent written and verbal communication skills
- Advanced proficiency in Microsoft Office (PowerPoint, Word, Excel, Outlook)
- Experience with CRM systems, project databases, and client portals
- Calm, professional demeanour with a proactive and detail-oriented approach
- Project management certification is a plus
