About the Role
Led by our Chief HR Officer, our People team roles are a mix of subject matter experts (SMEs), partnering and operations roles. Our vision for the future is to have a strong focus on employee experience and operational excellence. We strive to be more agile and to be a key contributor to the overall success of EcoOnline.
Key Responsibilities:
Maintain accurate and up-to-date employee records in the HRIS, including personal information, employment contracts, RTW/Visa documentation, and role changes.
Administer the HRIS, including data entry for starters, leavers, and internal moves. Ensure the integrity and accuracy of the data and regularly perform data audits reporting any anomalies.
Coordinate the onboarding process for new hires, including the completion of necessary paperwork, e.g., contracts, induction, and system set up.
Manage the offboarding process, ensuring timely system and payroll deactivation, and ensuring completion of offboarding processes e.g., equipment return and other line manager responsibilities.
Liaise with payroll to provide monthly instructions for all starters, movers, leavers, and provide support for related queries.
Respond to all enquiries and requests through the HR Inbox, keeping with agreed SLAs.
Act as a point of contact (HR Inbox) for employee inquiries relating to HR Operations, policies, and procedures (e.g., absence of policy, family related leave, etc.). Provide support and guidance and escalate complex issues appropriately.
Identify opportunities to improve HR processes and systems to increase efficiency and accuracy.
Support the wider HR Team including business partners with HR related projects and cyclical HR processes, e.g., pay review, performance management, policy work.
Onboarding and Offboarding – evaluation of the efficiency and completeness of all onboarding and offboarding processes including employee feedback.
Data accuracy and maintenance of data – measured by the accuracy of data within the HRIS and payroll systems – including error rates and discrepancies identified and corrected.
Timeliness of record updates following role changes, onboarding and offboarding.
Maintenance and creation of policies.
Responsiveness to queries to the HR Inbox and general staff inquiries that come through the inbox.
What we're looking for:
Proficiency in MS Office suite, Hibob and Payroll systems (ADP as an advantage).
Excellent communication skills – written and verbal.
Excellent attention to detail and accuracy in data management and maintenance.
Ability to maintain confidentiality and handle sensitive information with discretion.
Strong organisational skills.
Excellent customer service skills.
Knowledge of HR best practice and relevant labour law in UK & Ireland.
Ability to work independently and as part of a team, collaborating with colleagues.
Experience of working with data and data management.
