Role Overview

The Workplace Experience Coordinator supports the smooth and welcoming operation of our Head Office environment. This role blends office administration, facilities coordination, employee experience, and event support to help create an engaging, safe, and productive workplace for employees and visitors.
Working closely with the Workplace Experience Manager, People Team and key Stakeholders, the coordinator ensures day-to-day operations run seamlessly while contributing to a positive, inclusive workplace culture.

This is a part - time role (2-3 days)

Key Responsibilities

Front of House & Office Administration

  • Deliver a warm, customer-first experience to employees, guests, and visitors.

  • Manage visitor arrival processes and notify internal stakeholders.

  • Handle incoming mail, courier collections, and deliveries - including confidential items.

  • Ensure meeting rooms and common areas are tidy, well-stocked, and maintained.

  • Monitor office supplies (stationery, kitchen, printing) and place orders as needed.

Workplace Operations & Facilities Support

  • Assist with tracking space usage and flag opportunities for improvements.

  • Support project-based workplace initiatives aligned with the People Strategy.

  • Handle sensitive information with professionalism and confidentiality.

Employee Experience & Events

  • Assist in delivering the annual Inclusion & Belonging Calendar and related initiatives.

  • Support the planning and coordination of key office events including the Summer Party, Festive Party, Lunch & Learns, and internal celebrations.

  • Provide ad hoc support for team-building activities and wellness programs.

  • Help manage centralised meeting room bookings when required.

  • Act as a friendly point of contact for general office-related queries.

Onboarding & Culture Support

  • Serve as a culture ambassador by helping promote an inclusive and welcoming environment.

  • Support the People Team & Workplace Experience Manager with DIBs-related activities across the business.

  • Support Fire Marshal duties (training provided).

Internal Communications

  • Support continuous improvement of internal communication channels and engagement.

  • Assist with Townhall set-up and coordination.

Qualifications, Skills & Experience

  • 2–3+ years’ experience in office coordination, facilities support, hospitality, or employee experience.

  • Strong organisational and multitasking abilities.

  • Excellent interpersonal and communication skills.

  • Comfortable working in a fast-paced, dynamic environment.

  • Self-starter with strong ownership and problem-solving skills.

  • Confident stakeholder management at all levels.
