The Role:

As the Office Experience Coordinator, you will be responsible for ensuring a smooth, welcoming and efficient office environment. Reporting into the UK Office Experience Manager, you will manage daily operations, support employees and visitors, and help create a positive workplace experience. Your role will involve coordinating office services, maintaining supplies, and organizing events to foster a collaborative and engaging work culture.

Experience required:

  • Excellent organisational and time management skills.
  • Previous experience in office coordination, facilities management, or administration.
  • Strong organizational and multitasking skills with attention to detail.
  • Excellent communication and interpersonal abilities to engage with employees, vendors, and visitors.
  • Proficiency in Microsoft Office Suite (Teams, Word, Excel, Outlook, PowerPoint) and familiarity with office management systems.
  • A proactive and problem-solving mindset with the ability to work independently and as part of a team.
  • A positive, community-focused attitude with a passion for creating a great office experience.

What you will be doing:

As the Office Experience Coordinator, you will play a key role in ensuring smooth office operations and an enjoyable work environment. Your daily tasks will involve greeting visitors, managing office supplies, coordinating events, and liaising with vendors. You will also assist with employee onboarding, office maintenance, and general administrative duties, making sure the office is both functional and welcoming.

Responsibilities:

Office Management & Facilities

  • Ensure the office is well-maintained, clean, and organized.
  • Monitor and restock office supplies, working with vendors to ensure timely deliveries.
  • Coordinate office repairs and maintenance with building management and external service providers.
  • Oversee the mail and package delivery process.

Employee & Visitor Support

  • Welcome guests and visitors, ensuring they have a seamless experience.
  • Assist employees with office-related inquiries and provide general support.
  • Support new hire onboarding by preparing access passes, and conducting office inductions.

Event & Culture Coordination

  • Plan and organize office events, including team gatherings, celebrations, and wellness initiatives.
  • Collaborate with the D&I team on Company events and iniciatives.
  • Coordinate catering, meeting logistics, and social activities to foster a positive office culture.

Administrative & Operational Support

  • Support with meeting room bookings when required and ensure they are properly set up.
  • Handle administrative duties such as filing, data entry, and document management.
  • Assist with special projects and ad hoc requests as needed.
