Workplace Co-ordinator (Part Time, Onsite)

We are looking for a proactive and professional Workplace Co-ordinator to be the welcoming face of Hearst Networks EMEA and a key support across day-to-day office operations. This role is ideal for someone who enjoys a busy and varied day, with strong attention to detail and great people skills. Reporting into the Director of Office Management and Security, you will be responsible for a range of activities to ensure the smooth running of our workspace.

This is a permanent and part-time contract position, that will be based in our Hammermsmith office Tuesday-Thursday 8.30am - 5pm. You will support a creative office space that operates award-winning brands like Sky HISTORY and Crime+Investigation.

Key responsibilities:

Front of House & Office Support

  • Greet all visitors and ensure a warm, professional welcome
  • Manage the visitor system
  • Open and close our meeting rooms
  • Check on AV throughout the office
  • Co-ordinate the desk and meeting rooms booking system; manage Engage day-to-day room booking queries
  • Car park bookings

Courier & Deliveries

  • Book national and international couriers
  • Liaise with couriers and internal teams
  • Co-ordinate kit collection with IT

Procurement & Finance Support

  • Raise and receipt purchase orders
  • Chase outstanding contractor invoices and liaise with finance
  • Co-ordinate office supply stock and stationery, including maintaining the stationery room

Events & Booking Coordination

  • Liaise with the Communications team and support across internal company events as required
  • Coordinate requirements for 6th floor Club room and assist in setting up

Access Control & Office Security

  • Create access profile and passes for new starters remove leavers
  • Run the office helpdesk and respond to staff queries
  • GDPR requirement: remove information not required
  • Run checks on mass information portal accuracy
  • Control external tenants access to our office

Facilities & Maintenance Checks

  • Report structural or maintenance issues via the tenant's portal
  • Conduct monthly H&S checks
  • Work closely with the daytime porter and cleaner to maintain a clean and safe environment
  • Work closely with contractors

Administrative Support

  • Provide admin assistance to the Director of Office Management & Security
  • Support day-to-day office operations and escalate issues when needed
  • Post Facilities information and Hammersmith events on The BASE

Minimum Requirements:

  • Previous experience in front of house, office coordination, or facilities support
  • Strong communication and organisational skills
  • Comfortable with Microsoft Office and helpdesk
  • Reliable, responsive, and detail-oriented

Desirable Requirements: 

  • Confident using systems like Engage (or similar room booking tools)
  • Familiarity with raising purchase orders and basic invoice tracking
  • Confident in using finance system; Concur preferred but not essential
