Flannery is one of the UK’s largest plant hire businesses. We supply and operate machines on most of the country’s major construction and infrastructure projects, which generates a substantial amount of data across fleet, telematics, hire, transport, servicing, finance and customer activity.

As our business continues to grow, we are looking for an organised and proactive Plant Administrator to support the effective management of our plant, operational assets and stock.

The Role

The Plant Administrator will provide essential administrative and operational support to the plant and operations teams, ensuring that plant, equipment, assets and stock are accurately recorded, controlled and accounted for.

This is a hands-on role for someone who is highly organised, detail-focused and comfortable working in a busy operational environment. The successful candidate will work closely with depot teams, transport, workshops, procurement, operations and finance to maintain accurate records and ensure that equipment and associated assets are where they should be, in the condition expected and available when required.

The role will play an important part in improving asset visibility, stock accuracy, fleet utilisation and operational efficiency across Flannery Plant Hire.

Key Responsibilities

  • Maintain accurate records of plant and operational assets across the business.

  • Ensure plant movements, transfers, allocations, collections and returns are accurately recorded on internal systems.

  • Maintain up-to-date asset information, including equipment identification, location, status and availability.

  • Support the tracking of plant from initial allocation through to return, transfer, maintenance or disposal.

  • Reconcile physical plant and assets against system records and investigate discrepancies.

  • Assist with regular plant and asset audits across depots and operational locations.

  • Monitor asset movements between depots, customers, projects and workshops.

  • Process stock movements, receipts, issues and transfers accurately.

  • Help identify opportunities to reduce stockholding costs, waste and unnecessary purchases.

  • Provide day-to-day administrative support to the plant hire operation.

  • Produce regular reports on plant, assets and operational stock.

  • Track and report discrepancies, missing assets and outstanding movements.

  • Support management with accurate information on asset locations and availability.

  • Assist with month-end reconciliation processes where required.

  • Provide information to finance and management teams to support accurate asset and stock accounting.

  • Monitor trends in asset movements, losses, damage and stock usage.

  • Liaise with workshops regarding equipment awaiting inspection, repair or return to service.

  • Coordinate with transport teams to ensure plant movements are accurately recorded.

  • Build effective working relationships across the business to improve operational visibility and control.

About You

We are looking for an organised and reliable administrator who enjoys working in a fast-paced operational environment and has a strong eye for detail.

You will ideally have:

  • Strong administrative and organisational skills.

  • Excellent attention to detail and accuracy.

  • Experience using computerised asset, stock, fleet or hire management systems.

  • Good Excel and Microsoft Office skills.

  • The ability to reconcile information and identify discrepancies.

  • Strong communication and relationship-building skills.

  • The ability to manage multiple priorities and meet deadlines.

  • A practical, proactive approach to problem-solving.

  • The confidence to communicate with operational teams, suppliers and internal stakeholders.
