Role Purpose:
The HR Administrator sits within the Employee Relations team as part of the wider HR department. They will support the Employee Relations team by providing administrative, operational, and first-line advisory assistance across multiple campuses.
This role is focused on dealing with first-line employee relations matters, supporting and assisting with employee engagement, HR administration and reporting. They will contribute to fostering a positive work environment by assisting with induction sessions, maintaining HR records, supporting compliance, and assisting in various HR projects that enhance the employee experience.
Main Responsibilities
About the Role:
Employee Relations
- Support managers and employees by providing first-line HR policy advice on topics such as reasonable adjustments, flexible working, occupational health referrals, employee well-being, and leave entitlements.
- Assist in drafting HR correspondence, including resignation confirmations, flexible working request responses, Visa/Reference letters, and letters of concern.
- Support formal investigations, including CCTV requests.
- Assist in managing a caseload of basic employee relations cases, such as minor misconduct, flexible working requests, and first written warnings.
- Support the processing of occupational health referrals and DSE (Display Screen Equipment) requests.
- Assist in responding to ad hoc HR enquiries and provide administrative support for ER cases.
- Support Access to Work applications.
Employee Engagement
- Support and assist in HR inductions for new starters across East London campuses.
- Assist with arranging and conducting campus tours and IT setup for new employees.
- Support the organisation and hosting of the monthly Welcome Breakfast, including preparing presentation slides.
- Assist in conducting exit interviews, updating HR systems (Unit4), and reporting findings.
- Support Campus HR Officers with employee engagement initiatives and administrative tasks.
- Assist with HR-led projects aimed at improving employee engagement across campuses.
HR Administration and Reporting
- Support disciplinary, grievance, and probation review meetings by taking minutes.
- Assist in maintaining HR records by filing key documents such as letters, fit notes, and return-to-work forms.
- Support monitoring and follow-up on attendance anomalies, excessive remote work, and high Bradford factor scores.
- Assist in preparing weekly and monthly HR reports, including ER Case Management and sickness reports.
- Support quarterly case reporting as required.
- Assist with issuing VDU eye care vouchers.
- Assist in handling offboarding tasks, including system updates and closing HR support tickets via the HR ticketing system.
- Assist with HR compliance checks and Subject Access Requests (SARs), including redacting documentation.
- Provide general HR administrative support as required.
Requirements
ESSENTIAL SKILLS and EXPERIENCE:
- Previous demonstrable experience in an HR administration role, ideally within a multi-site organisation.
- Good understanding of HR administration, employee relations, and reporting.
- Excellent organisational skills and high levels of attention to detail.
- Ability to work under pressure in a busy environment, and able to prioritise workload
- Strong communication and interpersonal skills, with the ability to interact effectively at all levels.
- Ability to manage sensitive information with confidentiality and professionalism.
- Proficiency in operating HR systems and Microsoft Office (Excel, Word, PowerPoint)
- Empathetic and approachable with a problem-solving mindset
- Ability to manage sensitive situations with discretion
DESIRABLE SKILLS and EXPERIENCE:
- Previous experience of working in either higher education, a corporate or a fast paced environment
- CIPD-qualified or currently working towards qualification.
