Executive Assistant
Executive Assistant – 6 Month Contract / London / Hybrid / Media - £18p/h
We are seeking a highly organised, proactive, and service-focused Executive Assistant to provide exceptional administrative and coordination support to the Chief Strategy Officer, Chief Operating Officer, and their direct reports. This role is pivotal in enabling senior leaders to focus on strategic priorities by managing their diaries, communications, travel, and day-to-day administration with efficiency and precision.
This position offers a high level of autonomy and requires someone who thrives in a fast-paced, global environment, can balance competing priorities, and confidently liaises with senior leaders and stakeholders both internally and externally.
Key Responsibilities
- Manage complex diaries, schedule meetings, and ensure leaders are fully prepared for all commitments.
- Draft and format internal and external communications, presentations, reports, and correspondence.
- Oversee email management — responding, filing, and prioritising on behalf of the executives.
- Organise key meetings, events, and offsites, including logistics, catering, and travel arrangements.
- Act as the first point of contact for calls, visitors, and correspondence.
- Manage expenses, purchase orders, and credit card reconciliations in line with policy.
- Provide general administrative support, including minute-taking, document preparation, and ordering supplies.
- Partner with the wider Executive Assistant/PA community to ensure seamless coverage for absence and major events.
Skills & Competencies
- Advanced proficiency in Microsoft Office (Word, Excel, Outlook, Teams, PowerPoint).
- Excellent written and verbal communication skills, with strong attention to detail.
- Proven ability to manage multiple priorities and meet deadlines.
- Strong interpersonal skills with the ability to build relationships at all levels.
- Financial acumen to manage expenses, budgets, and supplier invoices.
- Significant experience supporting multiple senior leaders (VP/Director level) in a fast-paced, global organisation.
- Track record in complex diary management, travel coordination, and high-volume administration.
This is a fantastic opportunity to work at the heart of a leadership team, in a role where your organisational skills, discretion, and proactive approach will have a direct impact on business success. You will be part of a collaborative and supportive environment that values professionalism, efficiency, and excellence.
