The Role and Candidate
As part of our expanding UK/EU Logistics operations, we are seeking a Fulfilment & Transport Coordinator/Manager to take ownership of our order and shipment flow from China to our UK and European warehouse network.
You will serve as the main point of contact between our China warehouse, freight forwarders, 3PL partners, Merchandising, Retail, and Ecommerce teams. This is a hands-on operational role requiring strong attention to detail, real-time problem solving, and the ability to keep multiple global partners aligned.
You will manage end-to-end fulfilment processes, ensure timely freight bookings, maintain accurate shipment documentation, and proactively resolve any issues relating to transport, customs, or delivery timelines. Clear communication and proactive coordination are essential, as your work will directly support inventory availability, retail performance, and customer experience across the region.
Responsibilities
- Own the end-to-end fulfilment process for stock moving from China to UK/EU warehouses
- Work directly with the China warehouse: raise purchase orders, confirm stock availability, and ensure dispatch timelines are met
- Book freight and manage shipment operations across multiple logistics and booking platforms
- Prepare and verify shipping documentation including commercial invoices and packing lists
- Track shipment transit status and proactively resolve delays, documentation gaps, or exceptions
- Liaise with freight forwarders and 3PLs, managing bookings, customs documentation, and delivery ETAs
- Coordinate closely with the Merchandising team to share accurate delivery timelines, shipment updates, and stock statuses
- Ensure all warehouses are pre-informed and prepared to receive incoming shipments
- Maintain and update shipping trackers and reporting tools with complete accuracy
- Troubleshoot logistics bottlenecks and implement timely solutions
- Support continuous improvement of fulfilment processes and global logistics workflows
Key Requirements
- Minimum 3+ years of experience in international logistics, fulfilment, or transport coordination
- Strong experience working with Chinese warehouses and global freight partners
- Confident handling freight bookings, commercial invoices, packing lists, and customs requirements
- Highly organised, hands-on, and able to take full ownership of operational processes
- Excellent communication skills with the ability to keep internal and external stakeholders aligned
- Fluent in English ; Mandarin is a strong advantage
- Proficient in Excel , shipment tracking tools, and ERP/WMS systems
