The RoleWorking within the integration team, the Patent Formalities Officer will play a key role in supporting the seamless transfer of IP data and ensuring that all processes are handled accurately, efficiently and in line with legal and procedural requirements.
You will be responsible for managing the 'take on' of cases and assignments, recording changes in IP ownership, validating IP data and ensuring data integrity throughout. This is a varied and collaborative position that also involves preparing client-facing reports, coordinating with international law firms and identifying opportunities to improve internal processes.
Key Responsibilities:• Manage the integration and ‘take on’ of IP cases and assignments
• Ensure compliance with legal, jurisdictional and internal procedural requirements
• Record changes in IP ownership and maintain accurate IP data records
• Draft client-facing reports and correspondence
• Liaise with international law firms to obtain jurisdiction-specific pricing and procedural requirements
• Perform data validation, entry, and cross-checking using tools, such as, Microsoft Excel
• Prepare and submit formal recordals
• Identify process improvement opportunities and support implementation with the Process Improvement Manager Requirements:
• Previous experience in Patent Formalities, ideally at Officer level
• Strong background in managing high-volume, detail-oriented data entry tasks
• Proficiency in Microsoft Excel, including formatting, sorting and using functions such as VLOOKUP
• Experience using translation tools is preferred
• Excellent attention to detail and organisational skills
• Ability to work independently while collaborating within a wider team
