A welcoming primary school in Croydon is looking for a professional and organised School Administrator to join its busy administration team.

This is a varied school office position for someone who enjoys working with people but is equally comfortable dealing with records, correspondence and day-to-day administration. You will help ensure the office runs smoothly and will be an important point of contact for parents, pupils, staff and visitors.

The school is looking for someone who can remain calm when the office becomes busy, maintain a high level of accuracy and provide a friendly but professional service.

School Administrator - Key Responsibilities

The role will include:

  • Welcoming parents, visitors and professionals to the school.

  • Managing the reception area.

  • Answering telephone calls.

  • Taking and passing on accurate messages.

  • Responding to general parent enquiries.

  • Managing school correspondence.

  • Responding to emails.

  • Directing enquiries to appropriate staff.

  • Maintaining accurate pupil records.

  • Updating the school's management information system.

  • Processing changes to pupil details.

  • Supporting admissions administration.

  • Supporting pupil starters and leavers.

  • Assisting with attendance administration.

  • Preparing letters and forms.

  • Maintaining electronic and paper filing systems.

  • Organising appointments and meetings.

  • Preparing documentation for meetings.

  • Supporting school trips and activities.

  • Assisting with school events.

  • Ordering office supplies.

  • Monitoring stock levels.

  • Supporting staff with general administrative requests.

  • Maintaining accurate records of communication.

  • Supporting the wider administration team.

  • Keeping the reception and office environment organised.

The successful candidate will need to prioritise effectively. At the beginning of the school day, the office may be dealing with parents, children, staff and telephone enquiries simultaneously.

You will need to manage these demands without allowing important administrative work to be overlooked.

Communication with Parents

The school office is often the first place parents go when they have a question.

You may deal with enquiries about attendance, school trips, forms, appointments, uniform, letters or general arrangements.

You should be able to provide straightforward information confidently while recognising when a matter needs to be referred to a teacher, pastoral colleague or senior leader.

Some conversations may be sensitive, so patience and professionalism will be important.

Working with Pupils

As a primary school administrator, you will have regular contact with younger children.

Pupils may visit the office because they are unwell, have an appointment, need to contact home or require assistance.

The successful candidate should have a warm and reassuring manner while maintaining appropriate boundaries and following school procedures.

Records and Administration

A significant part of the role will involve keeping information accurate.

You will update pupil records, prepare correspondence and use school systems to record relevant information.

Strong IT skills will therefore be useful. Experience with Arbor, SIMS, Bromcom or another MIS would be advantageous, although the school will consider candidates with strong transferable administrative experience.

School Administrator - Experience and Requirements

Applicants should ideally have previous administration experience in a school or similar busy environment.
