You deliver a best‑in‑class front‑of‑house experience, blending hospitality, office coordination and admin support to ensure everything runs smoothly, visitors and team feel valued, and meetings and events are executed flawlessly.

How you make it all possible…
Welcome and host visitors and internal colleagues, ensuring a professional first impression and smooth sign‑in and access control.
Arrange and organise refreshments and light buffet lunches for meetings, workshops and internal sessions, maintaining high presentation and hygiene standards.
Answer telephone and Teams calls, manage front‑of‑house inbox correspondence, routing queries promptly and accurately.
Keep reception and shared spaces tidy, stocked and presentable; raise and track facilities tickets; coordinate contractors where needed.
Manage room and space bookings end‑to‑end, including enquiries, scheduling, calendar invites and on‑the‑day support.
Liaise with production teams to capture technical requirements (AV, connectivity, layouts) and ensure they’re delivered correctly.
Ensure all display screens are active and correct, performing basic checks and updating content via CMS or by coordinating with the content/IT team.
Monitor and order office consumables (kitchen, stationery, print, meeting supplies), maintaining par levels, processing POs and reconciling deliveries.
Support Head Office with administrative tasks including document formatting, data entry, courier coordination and internal communications.
Assist with office‑based networking events — guest lists, room set‑up/turnaround, signage, name badges, catering and post‑event reset.
Uphold GDPR, confidentiality and visitor data protocols.
Escalate facilities, IT or H&S issues promptly and support incident logging (e.g., near misses, faulty equipment).
What’s in your toolbox…
Previous experience in a front‑of‑house, receptionist, office coordinator or hospitality role in a client‑facing environment.
Excellent communication skills — in person, over the phone and via email — with a strong service mindset and professional etiquette.
Strong organisational skills, calm under pressure, and able to juggle multiple bookings and priorities.
Comfortable liaising with technical/production teams and capturing event/meeting requirements.
Competent using Microsoft 365 (Outlook, Teams, Word, Excel) and room booking systems; CMS or digital signage familiarity is a bonus.
Able to lift/move light items when preparing rooms, and comfortable standing for periods during events.
Basic AV knowledge (connecting displays, VC setups, HDMI/switchers).

The role will be based primarily from our Dean Street, London office, but there will be times when you’ll need to work from our other places and undertake other related commercial duties both in the UK and overseas. Flexibility is key!
