Job Description
RESPONSIBILITIES
Specific responsibilities include but are not restricted to:
Executive Support & Diary Management
•Provide comprehensive executive support to two Senior Vice Presidents responsible for International unscripted programming, and Format sales and production.
•Manage time effectively across the two different departments, roughly 75% allocated to unscripted and 25% to formats
•Operate within agreed time zones, balancing responsibilities for diary and project management with LA assistants and handing over activity where necessary and timely to LA assistants
•Manage complex and frequently changing diaries, ensuring efficient scheduling of meetings, client calls, and travel commitments.
•Serve as a key point of contact for internal teams and external partners, maintaining effective communication and fostering strong professional relationships.
Project & Production Coordination
•Liaise between stakeholders across UIS, UTAS, USG, NBC and Peacock to deliver pan-business projects in support of SVP, Unscripted
•Coordinate extensive international travel arrangements, including the preparation of detailed itineraries, visas, accommodation and transport logistics.
•Act as the primary contact and coordinator for visiting US executives, overseeing their schedules, arranging high-level meetings, and managing hospitality, dinners and events during their time in the UK.
•Support project coordination activities, tracking progress and ensuring that priorities and deadlines are met.
Travel & Event Logistics
•Organise departmental and client events, off-sites and hospitality, ensuring all logistics are managed to a high standard.
Administration
•Provide proactive administrative and operational support, anticipating requirements and always maintaining a high level of discretion and professionalism.
•Prepare meeting packs, presentations and briefing materials in support of executive meetings, client pitches and production updates.
•Process and reconcile executive expenses in accordance with company policies.

Qualifications
SKILLS / QUALIFICATION REQUIREMENTS
Essential
•Must have at least 1+ years of experience in an administrative/support role
•Strong organisational skills and the ability to prioritise and manage a large volume of tasks
•Excellent interpersonal and communication skills, both written and verbal
•A genuine passion for Film & TV and a hunger to learn.
•An ability to maintain a high level of discretion and sensitively handle confidential information.
•General tech aptitude
•Proactive approach, positive attitude, the ability to quickly adapt to a demanding and fast-moving position and work effectively in a team
•High level of discretion and professionalism
•Collaborative spirit and a positive, can-do attitude
•Impeccable attention to detail
Desirable
•Previous experience in the media or entertainment industry
•Familiarity with creative environments
