Job Title: Project Coordinator
Location: London
We’re looking for a highly organised and proactive Project Coordinator to join a leading design and build practice in London. You’ll be central to the smooth running of projects, ensuring all moving parts are aligned from concept to completion.
What you’ll be doing
This is a varied, fast-paced role that touches every stage of the project lifecycle. You’ll be supporting teams across design, project management, construction, and sales – helping ensure nothing slips through the cracks.
Key responsibilities include:
Project Coordination & Admin
- Organise team meetings, take minutes, and follow up on deliverables.
- Manage diaries and coordinate internal/external meetings.
- Support with team social and client events.
- Organise travel, refreshments, and office requirements.
- Track and manage expenses for the Managing Director.
- Own and update the Project Tracker, supporting the Commercial Director with accurate, up-to-date project info.
- Ensure compliance with internal quality, H&S, and environmental procedures.
Design Phase
- Coordinate and quality-check submission documents.
- Schedule and chair internal design reviews.
- Track submission timelines and ensure deadlines are met.
- Liaise with graphics and design teams for content formatting.
- Collect and action client feedback post-submission.
- Oversee content input for key client submissions.
- Help manage design risk assessments post-contract signing.
Construction & Onsite
- Set up and manage BIM 360 portal access for all stakeholders.
- Engage regularly with site teams and coordinate deliveries/couriers.
- Prepare and quality check weekly project reports.
- Procure small orders and accessories as needed.
- Administer procurement records and invoice alignment.
- Assist with project close-out processes and documentation.
Post-Completion
- Prepare handover documentation and checklists.
- Collect certificates and approvals for O&M manuals.
- Liaise with subcontractors and O&M consultants to meet deadlines.
- Organise and minute post-project reviews and lessons learned.
Pre-Construction & Sales Support
- Manage pre-construction checklists and contractor onboarding (PQQs).
- Prepare and QC contractor proposals.
- Minute kick-off meetings and track early-stage project progress.
- Assist in preparing sales submissions (RFIs, PQQs).
