Your Role
As a Data & Systems Administrator , you will play a critical role in safeguarding Pride in London’s digital environment. Reporting to the Deputy Director of People & Culture, you will oversee the secure administration of our Google Workspace and internal systems, ensuring strong data handling practices, GDPR compliance, and seamless access for our volunteer teams.
You will balance governance and operational support, managing permissions, enforcing security controls, and acting as a key point of contact for internal helpdesk queries. Your work will ensure that our digital infrastructure is secure, compliant, and enabling rather than restrictive.
This role has a flexible start time; we are looking for someone who can start as soon as possible. This role carries an average volunteer commitment of approximately 4–6 hours per week, with flexibility around peak periods. Increased availability during major onboarding cycles and in the lead-up to the Pride event will be beneficial.

Your Responsibilities
GDPR Compliance
Support the implementation and maintenance of GDPR-aligned data handling practices.
Monitor access permissions across Google Workspace to ensure least-privilege principles are followed.
Conduct periodic access audits and support data retention and deletion processes.
Assist in documenting and maintaining data governance policies and procedures.
Systems Administration
Administer the Google Admin Console, including user provisioning, offboarding, and lifecycle management.
Manage Organisational Units, Groups, Shared Drives, and role-based access controls.
Enforce 2 Factor Authentication (2FA) and core security configurations.
Oversee licence allocation across Workspace and other SaaS platforms.
Helpdesk Support
Act as first-line support for account access, permissions, and authentication issues.
Troubleshoot login, SSO, and collaboration tool queries.
Maintain clear records of hardware allocation and software licensing.
Manage and prioritise a digital support queue to ensure timely resolution of issues.
Documentation & Continuous Improvement
Create and maintain clear SOPs for joiner, mover, and leaver processes.
Develop self-help guides to empower volunteers to resolve common issues independently.
Identify opportunities to strengthen data security and improve administrative efficiency.

Google Workspace Expertise: Practical experience using the Google Admin Console and managing cloud-based user accounts.
Understanding of GDPR & Data Protection: Familiarity with UK GDPR principles and secure data handling practices.
Organisational Precision: Strong attention to detail, particularly around permissions, documentation, and governance.
Helpdesk Experience: Confidence supporting users remotely and resolving access-related queries efficiently.
Clear Communication: Ability to explain data policies and technical processes in accessible language.
