Job Description
We are seeking an experienced SharePoint DMS Specialist to lead the design,
development, and implementation of a modern, scalable, and secure Document
Management System within Microsoft 365. The ideal candidate will possess deep
technical expertise in SharePoint Online architecture, information governance,
metadata-driven design, automation, and user adoption strategies.
Key Responsibilities
1. DMS Architecture & Design
• Design a scalable, user-centric SharePoint Online DMS aligned with
organisational structure and governance.
• Develop site architectures, hub structures, content types, taxonomies, and
metadata models.
• Create logical and physical information architecture for document storage,
retention, and lifecycle management.
• Define permissions models, security boundaries, sensitivity labels, and access
controls.
2. Implementation & Configuration
• Build and configure SharePoint Online sites, libraries, lists, templates, content
types, and views.
• Set up automated document workflows using Power Automate.
• Implement versioning, auditing, labelling, and records management features.
• Integrate SharePoint with Microsoft Teams, OneDrive, Purview, and other M365
services.
• Assess and map existing document repositories (file shares, legacy systems,
third-party tools).
• Lead migration planning, cleansing, mapping, and execution (using tools such as
ShareGate, Mover, or native tools).
• Develop and deliver migration validation, testing, and sign-off processes.
4. Governance & Compliance
• Define and implement SharePoint governance frameworks, policies, and
retention schedules.
• Collaborate with InfoSec and Compliance teams to meet regulatory
requirements.
• Ensure alignment with organisational standards for data protection and lifecycle
management.
5. User Adoption & Training
• Produce user-friendly documentation, training material, and guidance
resources.
• Deliver workshops, training sessions, and support materials.
• Promote best practices for document control and collaboration using M365
tools.
6. Continuous Improvement & Support
• Monitor system health, usage analytics, and user feedback to inform
enhancements.
• Troubleshoot issues and provide 3rd-line SharePoint/M365 support as required.
• Evaluate and recommend new features, technologies, or enhancements within
M365.
Required Skills & Experience
Technical Skills
• Expert knowledge of SharePoint Online architecture, configuration, and
administration.
• Strong understanding of information architecture, including:
o metadata and taxonomy
o content types
o hub/site structures
• Proficiency with Microsoft 365 ecosystem (Teams, OneDrive, Exchange,
Purview).
• Hands-on experience with Power Automate workflows.
• Expertise in DMS design principles, governance, lifecycle management, and
retention.
• Experience with migration tools (ShareGate, Mover, Quest, or similar).
• Understanding of security and compliance features in M365.
Professional Skills
• Exceptional documentation and communication capabilities.
• Ability to translate business requirements into technical design.
• Strong stakeholder engagement and workshop facilitation.
• Experience working in complex or regulated environments.
Qualifications
• Microsoft Certifications (e.g., MS-700, MS-740, SC-400, or SharePoint
Specialist).
• Experience implementing DMS solutions in mid-to-large enterprises.
• Background in regulated industries (finance, legal, healthcare, public sector).
