DescriptionThe Executive Support Officer (Grade I) plays a crucial role in enhancing the efficiency and effectiveness of executive management within our organization. This position involves providing high-level administrative support to senior executives, ensuring that their time is optimized and their agendas are managed seamlessly. The successful candidate will be responsible for a variety of tasks that require keen attention to detail, superior organizational skills, and the ability to handle confidential information with discretion. As the first point of contact for both internal and external stakeholders, the Executive Support Officer will represent the executive in a professional manner, coordinating communication and integrating feedback from various departments. The ideal candidate will thrive in a fast-paced environment, adept at managing multiple priorities and timelines while maintaining a proactive approach to problem-solving. A strong ability to utilize technology effectively is essential, as the role will involve the use of various software applications to streamline processes and enhance productivity. Responsibilities
Manage and maintain executives' schedules, including appointments, meetings, and travel arrangements.
Prepare and organize agendas for meetings, ensuring all necessary materials are available in advance.
Draft, review, and edit correspondence, reports, and presentations as required by senior management.
Coordinate logistics for meetings and events, including venue selection, catering, and technology setup.
Serve as a liaison between executives and staff, facilitating effective communication and collaboration.
Maintain filing systems and ensure all documentation is up-to-date and accessible as needed.
Assist in the preparation of budget reports and tracking expenditures related to executive operations.
Requirements
Proven experience in executive support or administrative roles, preferably in a corporate environment.
Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
Exceptional organizational and time management skills, with the ability to prioritize tasks effectively.
Excellent interpersonal and communication skills, both written and verbal, to interact with various stakeholders.
Strong problem-solving abilities and proactive thinking to address challenges before they escalate.
High level of discretion and confidentiality in handling sensitive information.
Ability to work independently and as part of a team, demonstrating flexibility and adaptability. Hours Per Week: 36.00

Pay Per Hour: £24.35
