Are you passionate about delivering outstanding customer service, solving problems, and building strong relationships? We're looking for a proactive and organised Customer Support & Parts Coordinator to join our busy team, playing a vital role in ensuring amusement machines across the UK remain operational and well-supported.

In this fast-paced role, you'll be the key link between customers, engineers, suppliers, and internal teams, ensuring the right parts are identified, ordered, and delivered on time. If you enjoy working in a dynamic environment where no two days are the same, we'd love to hear from you.

What You'll Be Doing

As our Customer Support & Parts Coordinator, you'll provide exceptional support to both internal engineers and external customers, helping to keep machine downtime to a minimum.

Key Responsibilities

  • Deliver professional telephone and email support to customers and colleagues.
  • Manage customer communications, including order updates, delivery schedules, and machine information.
  • Process sales orders and purchase orders accurately using our stock management systems.
  • Generate and distribute reports relating to sales orders and inventory.
  • Prepare and issue pro-forma invoices and proactively follow up on outstanding payments.
  • Investigate and resolve invoice and order-related queries.
  • Liaise with suppliers to obtain delivery updates and manage customer expectations.
  • Support engineers by identifying and sourcing the correct parts for amusement machines.
  • Provide technical product information and guidance where required.
  • Maintain accurate records within our internal ordering system, ensuring all stakeholders have up-to-date information on order progress.
  • Assist in resolving machine-related issues highlighted through Aged Call Reports.
  • Work closely with internal departments to share product feedback and support continuous improvement.
  • Represent the company professionally at all times, including attending trade shows and industry events when required.
  • Support wider business activities and projects as needed.

Essential Skills & Experience

  • Strong customer service experience within a busy office, logistics, technical support, or parts environment.
  • Excellent communication skills, both written and verbal.

  • Ability to work independently and use initiative to resolve issues.
  • Confident relationship-builder who can work effectively with customers, suppliers, engineers, and colleagues.
  • Strong problem-solving skills and sound decision-making ability.
  • Comfortable learning technical products and developing specialist knowledge.
  • Flexible, adaptable, and willing to embrace new technologies and processes.
  • Positive, proactive attitude with a genuine desire to help customers.
