Job Summary

In response to Equinix’s rapidly growing pipeline of ‘Global Design & Construction (GDC)’ data centre capex projects, a ‘GDC Systems’ team was established to focus on:

1) Streamlining and improving the consistency of project delivery
2) Allow planning, managing, and reporting to take place at a portfolio level (in addition to project level)

3) Identifying the challenges that the GDC project delivery teams are experiencing, and developing solutions using (globally-consistent) IT tools and systems

4) Driving automation to support the scaling of our business

The ‘GDC Systems' strategy is currently being implemented through the selection, development, roll-out, training and support of an integrated suite of tools for:

  • Project Information Management

  • Project Planning & Management

  • Dashboards and Reporting

  • Project Controls

This position is within the ‘GDC Systems’ team – currently a relatively small team, supporting the much larger GDC team (over 300no. people) to deliver over 75no. projects globally per year.

The role is particularly focused on implementing our ‘ Common Data Environment (CDE)’system across our global portfolio, and is well-suited to a person that has:

  • Design and construction experience, and an appreciation of what’s required by Project Teams to deliver complex data centre projects

  • Knowledge of construction collaboration and project/portfolio information management tools

  • Experience setting-up similar systems on major projects/portfolios

  • Knowledge of best practices and industry standards for configuring and managing such tools

  • Proactive and problem-solving attitude

The role can be partly carried out remotely, but requires working from an Equinix office 2no. days/week, and requires working hours to be flexible to allow collaboration with others across all 3no. regions (i.e. EMEA, AMER, APAC).

The ability to operate at a global level within a matrix organisation is essential.

Responsibilities

1) Systems Development

  • Stakeholder engagement

  • Seeking opportunities to build effective stakeholder relationships, and knowledge of their functions

  • Working with internal stakeholders to understand and define their business requirements / ‘use cases’

  • Working closely with Equinix IT and external ‘systems development’ consultant to ensure that the stakeholder requirements are delivered

  • Managing the development and delivery of new modules/functionality, user acceptance testing, and transitioning them into production

  • Keeping stakeholders updated with progress, encouraging feedback, and managing expectations

  • Process development and improvement - the ability to adopt and adapt existing processes and methodologies, as well as defining new ones, to maintain continuous improvement in our systems.

  • Working within the ‘GDC Systems’ team to develop an integrated suite of tools (to provide project teams a streamlined experience for navigating and accessing the data and files that they need to deliver projects efficiently to the operations team) for:

  • Project Information Management (primarily Procore , in conjunction with Autodesk BIM 360 for modelling, and Facility Grid for commissioning) – this is the key focus of this role

  • Project Planning & Management

  • Dashboards, Reporting & Analytics

  • Project Controls

  • Project Scheduling

2) Implementation and Roll-out

  • System set-up and configuration – primarily at a portfolio / company level, such that individual projects can be easily set-up in a streamlined and consistent way… allowing scalable access/permissions management, and standardised reporting and KPIs to be available across our portfolio of projects

  • User Training:

  • Creating training documentation / materials

  • Delivering training sessions (live and/or pre-recorded)

  • Communicating system updates / lessons learned to users

  • Actively supporting development of end-user knowledge and skills for the GDC team

  • User Access / Permissions management

  • 3) Systems Support

  • Providing systems support and guidance to project teams (in all regions – EMEA, AMER, APAC) and central/global teams (e.g. PMO, Project Controls), in conjunction with Equinix IT (for technical/back-end support)… ultimately becoming one of the day-to-day ‘go to’ people for GDC systems support

  • Support the development of simple and scalable data gathering to enhance and improve the project managers experience with regards to the multiple reporting requirements of the GDC organisation.

  • Using ServiceNow to manage support tickets

4) Monitoring & Feedback

Focus on continual improvement…

  • Carrying out system reviews/audits/validation to confirm that the tools and processes are being used correctly, and facilitating feedback to the systems development team where improvements are required

  • Obtaining feedback on reporting requirements

  • Obtaining feedback on requirements for new / improved systems functionality

Qualifications, Experience & Skills

  • 7+ years’ experience working in a Project/Portfolio Management (PMO) team in a design or construction environment

  • Would suit an experienced ‘Project Information Manager’, who would like to ‘elevate’ to operating at a Portfolio level

  • Bachelor's degree required (e.g. Engineering, Construction Management, Business Management, Information Management, IT Systems)

  • Project or Information Management qualification preferred

  • Experience working with PPM tools and Electronic Document Management Systems (EDMS), Procore is a bonus

  • Experience with Primavera P6or MS Project planning tool would be beneficial, but not essential

  • MS Office confident ( PowerBI is a bonus)

  • Strategic and analytic thinker, but with a strong operational focus (i.e. practical and ‘hands-on’)

  • Experience working with and manipulating data / databases / datasets

  • Experience with Process Management improvements

  • Experience with Stakeholder Management

  • Attention to detail and good time management skills required

  • Need to be a positive, self-motivated, self-starter, but also a team-player, with ability to adapt to changing priorities

  • Effective communicator - ability to convey technical information in an easy-to-understand way, across global project teams and multiple levels of an organisation, and experience with training others

  • Able to design dashboards, roadmaps & presentations

  • Coordination, communications, problem-solving skills required

  • Good interpersonal skills, with the ability to build relationships

  • Willingness to travel internationally (occasionally) to support project teams on-site, and work with other multi-disciplinary teams in our offices

  • Written and spoken fluency in English
