To provide high quality efficient administration and clerical service to all inpatient areas, staff, visitors and patients.

Main duties of the job

Main source of administrative support for the ward team.
Admit patients onto the units / ward using patient administration system
Greet visitor’s face-to face and respond to requests for basic information. Accurately and promptly carry out the delegated tasks as directed by the ward team who is
professionally accountable for the delivery of care.
Respond correctly to clinical emergencies to ensure the patient receives appropriate care.
To organise additional services for patients as required, such as interpreters and transport
Answer and take note of all incoming calls to the ward/clinical area, relaying queries, and
messages as appropriate to the clinical staff.
To facilitate good communication with other wards and departments involved in patient
care or ward/departmental functioning.
Participation in the baby abduction drills (where appropriate)

Detailed job description and main responsibilities

View patients on admissions window in Epic and mark as ‘admitted’.
Arrange/request/book out‐patient appointments.
Arrange ambulance transport for patients being discharged or routinely transferred to
another hospital.
Maintain a safe environment ensuring the clinical area is clean and tidy.
Receive new patients, direct visitors, and provide information to and from medical staff, and
patients, daily
Be a point of communication for all staff

Person specification

Qualification, Experience and Skills

Essential criteria
  • Educated to GCSE level or equivalent
  • Planning and organising straightforward tasks
  • Working within agreed guidelines to set timescales
  • Ability to work as part of a team
  • Good communication skills including telephone, email, face to face

Desirable criteria
  • Previous healthcare experience
  • Previous ward clerk experience
  • Knowledge of EPIC EHR system
