Purpose of the Role
This London based Executive Assistant role provides high level, proactive and seamless support to the Chief Marketing Officer (CMO)and Global Head of Corporate Affairs GCA), a member of the Springer Nature Executive Team. It will also provide support for the Global VP Communications and VP Research Marketing Strategy.
The role is pivotal in enabling effective leadership, ensuring operational excellence within the Corporate Affairs, Marketing and Communications functions, and supporting departmentwide initiatives.
Responsibilities
Executive Assistant support to CMO &CGA:
• Manages a wide range of administrative tasks, including calendar management, expense reporting, and complex travel organisation producing itineraries where required.
• Ensures the Executive’s schedule is well coordinated and proactively managed.
• Organizes a variety of leadership and team meetings – in-person, virtual and hybrid - preparing agendas, gathering required materials, arranging logistics, attending to take minutes where required, and tracking follow up
• Works closely with leadership team members and peers in creating effective and detailed itinerary when the Executive Team member is traveling out of the country
• Provides a bridge for smooth communication between the Executive Team member’s office and internal departments, with Management Board members, peers, direct reports and others when needed building credibility, trust and support with senior management staff
• Works closely and effectively with the Executive Team member to keep them well informed of upcoming commitments and responsibilities, following up appropriately
• Understands the department (and corporate) strategy and aligns it’s competing priorities and opportunities
• Successfully completes critical aspects of deliverables with a hands-on approach, including drafting acknowledgement letters, internal and external correspondence, and other tasks that facilitate the Executive Team member's ability to effectively lead his team
• Takes on projects according to capacity and her/his own development goals to drive as team member the strategic goals of the department
• Prioritizes conflicting needs; handles matters expeditiously, proactively, and follows-through on projects to successful completion and has the discernment to understand what can be deferred and what is important, and determines the proper course of action
• Supports induction of new starters reporting to the Executive Team member ensuring that IT accounts are properly set up and all relevant equipment provided, where appropriate
• Assists the Executive Team member in external engagement with customers, agencies, and other organizations
• Support with CA global team event and other events as needed
• Provide co-ordination support for budgeting working with wider team and finance business partner
• Provide cover to UK Events and Comms Ops Manager in their absence. Cover will be provided by them also.
Support for VPs Comms and Marketing:
• Diary management, travel and expense support
• Some events support when needed.
Experience, skills and qualifications:
• Bachelor’s degree
• Established experience of administrative support to senior executives up to C-level of sizeable organisations with global footprint
• Excellent communication skills, both written and verbal in English. Knowledge of German would be considered a plus
• Excellent interpersonal skills - relate well with people and ability to build relationships with stakeholders, including internal staff at all levels and external customers, board members etc.
• Professionalism and friendly demeanour
• Strong organizational skills to perform and prioritize multiple tasks seamlessly with excellent attention to detail, emotional maturity and empathy
• Discretion in handling confidential matters and information
• Ability to anticipate scheduling conflicts and use efficient solutions
• Strong MS Office Skills including PowerPoint, Word and Excel, Adobe Acrobat, various social media platforms; excellent written and verbal communication skills
• Extensive experience handling high volume and complex international travel itineraries
• Ability to work in a fast-paced and sometimes unpredictable environment along with the ability to be calm and efficient under pressure and with tight deadlines
• Resourceful team player with strong can-do-attitude; adaptable to various competing demands, and demonstrate the highest level of customer/client service and response
• Ability to give and take feedback to adapt/change quickly and effectively
• Events management experience
