The Repairs Administrator provides essential administrative and customer service support to the Repairs and Maintenance team, ensuring the smooth delivery of repair services to tenants and residents. This role involves logging repair requests, updating systems, liaising with operatives and contractors, and maintaining accurate records to support efficient service delivery. Experience within a social housing environment is essential , with a strong understanding of responsive repairs, voids, and maintenance processes.

Key Responsibilities

  • Act as the first point of contact for tenants reporting repairs or maintenance issues via phone, email, or online portals.

  • Accurately log repair requests onto the housing management or repairs system, ensuring correct categorisation and priority levels in line with policy.

  • Liaise with operatives, contractors, and planners to schedule and confirm appointments, ensuring timely completion of works.

  • Update and maintain records of all repair jobs, including progress updates, completion notes, and follow-up actions.

  • Handle tenant enquiries and complaints professionally, providing updates and resolutions within agreed service standards.

  • Monitor job progress and escalate overdue or complex cases to the Repairs Team Leader or Manager as needed.

  • Raise purchase orders and invoices , ensuring accurate financial and administrative records.

  • Produce reports and maintain spreadsheets relating to performance, no-access rates, and customer satisfaction.

  • Support the Repairs Team with general administrative duties, correspondence, and meeting coordination.

  • Ensure compliance with data protection, health and safety, and company policies at all times
