About the role: As Buying and Procurement Manager at HeliosX, you will lead the buying strategy for our Pharmaceutical and Skincare products across all markets. You will manage supplier relationships, drive commercial negotiations, and ensure the right balance of quality, cost, and speed. From sourcing raw ingredients and consumables to overseeing supplier performance and cost of goods, your work will directly impact our pharmacy and fulfilment operations. Collaborating with teams across Supply Chain, NPD, Finance, and Operations, you will help build a high-performing, responsive supply base that supports our brand and fuels our growth.
What you'll be doing:
- Lead all procurement activities including contract negotiation, budget management and supplier approvals
- Manage relationships with CMOs, forecast batch production and ensure timely availability of materials
- Reconcile agreed cost prices with invoices, investigating and challenging discrepancies
- Work closely with Operations, Manufacturing and NPD teams to shape and implement a cost-effective buying strategy that meets quality specifications
- Ensure a robust quality management system is in place and all suppliers meet required standards
- Own and evolve procurement processes, including running tenders and supporting sourcing strategies aligned with growth plans
- Build and implement sourcing strategies for key product lines, ensuring supply resilience and reliability
- Establish regular supplier review processes to optimise cost, service levels and payment terms
- Continuously identify new suppliers using market and competitor insights to strengthen sourcing strategies
- Monitor supplier performance using clear SLAs and effective reporting tools
- Deliver margin targets through commercial negotiation and proactive cost management
- Lead supplier selection and onboarding for raw materials, finished goods and packaging
- Negotiate and manage commercial terms, pricing, SLAs and contracts
- Build strong supplier relationships with a focus on quality, scalability, pricing and innovation
- Drive cost-saving initiatives and work with Finance to monitor and improve margins
Who you are:
- Over five years of experience in buying or procurement, ideally within pharma, skincare or FMCG
- Strong track record in negotiating commercial agreements and managing supplier relationships
- Solid understanding of quality and regulatory standards such as GMP, ISO and MHRA
- Comfortable working in a fast-paced, entrepreneurial setting
- Exceptional communication and stakeholder management skills
- Commercially minded, data-driven and highly organised
- Experience in a scale-up or high-growth environment is a plus
- Excellent project management skills with a track record of delivering strategies that drive results
- Strong attention to detail with the ability to manage multiple priorities at once
- Confident analysing data to solve complex business challenges
- Experience using ERP systems, particularly Sage X3, is a plus
- Advanced skills in Excel or Google Sheets
