Office Service Coordinator Hours: Monday to Friday, 36.25 hours per week Location: London, United Kingdom VF Corporation is looking for an exceptional Office Service Coordinator to join the team based at our UK Offices in Soho, London. Let’s Talk about the Role As an Office Service Coordinator you will act as a brand ambassador. You will be the first VF employee our guests (including employees) will meet on arrival at Axtell House. You will act as the first point of contact and will be responsible for creating a comfortable and welcoming environment for all visitors to our offices. How You Will Make a Difference
  • You will meet and greet all guests, offering/preparing tea & coffee and ensuring you are providing a welcoming VF experience.
  • Ensuring that all visitors are signed-in by way of registration, and people data is managed in line with GDPR.
  • You will monitor and manage stock levels, from stationery ordering, business lunches, beverages to other refreshments. To ensure our VF family / guests have everything they need to support them throughout the day.
  • Answering phone calls at the main switchboard number and filtering and handling general enquiries accordingly.
  • Price checking invoices on our internal business systems & raising purchase order numbers and invoice management relating to the building.
  • You will collect, sort, and help distribute post, arrange couriers, and manage deliveries inclusive of all recorded tracking administration.
  • Supporting our local HR function with a variety of tasks including coordinating employee engagement activities / supporting with onsite training coordination / assisting with new starter onboarding.
  • We will provide Fire warden training to the successful candidate as you will act as the onsite Fire Warden. This part of the role covers weekly testing and reporting of the building fire alarm system.
  • You will also be responsible for the implementation of health & safety / general assessment of the building and reporting any repairs.
Skills for Success You should be an excellent team player who is proactive and enjoys working with a sense of urgency, as well as with a varied workload with:
  • The ability to juggle and prioritise multiple tasks at a time
  • Is confident working in an environment with lots of autonomy and minimal supervision
  • Strong interpersonal skills with a pragmatic approach to problem solving
  • Good written and verbal communications skills who enjoys building relationships with different stakeholders
  • You will also be a proficient user of MS Office suite.
