Events Coordinator
The Role
To coordinate all internal and external business and social office events. To ensure the event’s success through clear communication with colleagues, caterers and external contractors.

Hours: 08:30 to 17:00 Monday to Friday
Duties and Responsibilities
- Manage the events spreadsheet for all client events held on the 7th floor
- Identify requirements and all operational details of the event.
- Organise chefs & menu choices, including dietary information and allergens.
- Arrange furniture moving contractors.
- Liaise with internal IT/FOH/Hospitality teams.
- Manage the event room bookings, through the portal and reception team.
- Update the global events calendars.
- Set up correctly for events, ensuring tablecloths, flowers etc. are organised before the event begins.
- Stock management; drinks et all fully stocked.
- Ensure permits and RAMs are provided.
- Budget management: ensure all stakeholders are fully informed of all costs, create PO’s and ensure invoices are paid promptly.
- Liaise with landlord re visitors and catered events.
- Resolve problems and enquiries prior to the event.
- On-site coordination; managing event setup, overseeing operations and troubleshooting any on-site issues.
- Planning of multiple events on the same day.
- Ensure H&S procedures are in place and adhered to throughout events process.
- Provide support across all floors, including meeting room furniture movements and room layouts.
- Report building faults and all other Facilities/H&S issues.
- Ensure client floor and back of house is immaculate at all times.
- Compliance of health and safety regulations in our office to maintain a safe working environment.
- To cover Reception holiday and sickness (training will be given).
- Ensure your own fire steward and manual handling training is kept up to date.
- Liaise with contractors working on site.
- Any other reasonable requests that fall under the Facilities remit, not listed but within reason, as requested by either the FE or FM.
