Job Description:

How&How are seeking a full-time Resource Manager to join our London team. You will be an innate organisational force with the ability to find solutions to every scheduling situation. This pivotal role is the glue between the New Partnerships team, Client Services and the rest of the studio.

You will own all aspects of resource allocation, team utilisation, freelance casting and forward-planning — ensuring accuracy, financial awareness, and clear communication at all times.

Topline: we need a warm, well-rounded, team-player to look after and nurture the London studio. You’ll have eyes and ears everywhere, razor-sharp communication and organisational skills and be a dab hand at problem-solving.

Your Responsibilities:

Resource Management & Scheduling

  • Own resource allocation and scheduling projects to ensure the smooth running of the studio
  • Work with the Senior Leadership Team to assemble world-class project teams who have the correct skills for each brief
  • Coordinate with the New Business Director on new projects and schedule those for launch
  • Lead resource meetings with the Client Services team, collating all information and making a plan for the months ahead
  • Analyse resource schedule and identify potential bottlenecks, finding solutions before they arise
  • Ensure the team is fully utilised by actively monitoring availability and identifying gaps early.
  • Maintain and continually update a robust pipeline of meaningful downtime tasks (e.g., case studies, reels, internal brand work).
  • Proactively escalate any capacity risks or lack of planned work in team planning or marketing meetings.
  • Own the forward-planning of internal deliverables, ensuring timelines, oversight, and team workload are aligned.

    Financial Awareness
  • Ensure all resourcing decisions are made with a financial lens — including billability, margin, rate negotiations and casting efficiency.
  • Take ownership of the accuracy of all data in our resource management system, including billability, availability and utilisation.
  • Work with our Client Services Director to analyse project profitability and suggest improvements for future projects/processes

    Process, Communication & Organisation
  • Chair structured, efficient resource meetings with agendas, shared trackers, clear decision-making and follow-up notes.
  • Communicate resourcing decisions to the team proactively and promptly, ensuring no gaps or misunderstandings
  • Keep all scheduling documentation—resource management system, trackers, team calendars—accurate and up to date, with a strong attention to detail.
  • Champion the use of technology and AI tools to drive efficiency across the studio—streamlining processes, improving workflows, and removing operational friction.

    Operational Support
  • Manage freelance requirements and communication, including: suggesting suitable candidates for projects, checking availability, discussing/negotiating rates, confirming bookings and sharing NDAs/contracts.
  • Keep the freelancer database fully updated with accurate skillsets, specialisms and rates — ensuring financial efficiency in all casting decisions.
  • Be responsible for the permanent hiring process from managing job adverts to triaging applications
  • Manage and approve the global team annual leave schedule
  • Collaborate with the Creative Director and Head of Copy to maintain clear visibility of the permanent and freelance team’s skills, strengths, specialisms and utilisation trends.

  • 3+ years of hands-on experience in a resource management role

  • Exceptional attention to detail, especially in scheduling tools, utilisation data and financial implications

  • Strong financial awareness — including understanding of billability, margin and the cost impact of resourcing decisions

  • Salary £42,000 - £47,000 (DOE) — with Bonus Opportunities

  • Fun fact! We had a great Q4 in 2024 so we raised everyone's salaries across the entire studio by 5% in 2025—because we believe we should all share our hard work
