Executive Assistant for Global Head of Institutional Sales

We are currently seeking a professional to join our team in the role of Executive Assistant for Global Head of Institutional Sales
This role requires to be in office for all 5 days
The Executive Assistant provides high-quality, proactive and discreet support to the Global Head of Institutional Sales, helping manage priorities, time, decisions and stakeholder engagement effectively. The role is responsible for ensuring the leadership team is well prepared for meetings, travel, leadership forums and key business activities. This includes diary and inbox support, planning and logistics, preparation of papers and briefing materials, coordination across stakeholders, and follow-up of actions.

The role requires strong judgement, attention to detail, confidentiality and the ability to anticipate needs before they become issues . It will act as a trusted partner to the leadership team, helping create the time and space needed to focus on strategic priorities, people leadership and delivery.
Alongside core executive support responsibilities, the role offers exposure to a fast-paced markets environment and to work underway to improve workflows through the practical use of AI . It would suit a highly capable, organised and intellectually curious individual who is interested in financial markets and keen to gain experience in a trading floor environment. This is first and foremost an Executive Assistant role, but one with broad exposure to front-office activity, strategic priorities and evolving AI-enabled ways of working.

In this role you will:
- Executive support and time management – manage time, diary, inbox and priorities to ensure focus on the most important business matters.
- Meeting and leadership support – coordinate meetings, leadership forums, visits and events, ensuring materials, agendas and actions are well managed.
- Travel and logistics – plan and manage domestic and international travel, itineraries and related arrangements in line with policy.
- Stakeholder coordination and communications – act as a professional point of contact for internal and external stakeholders and support effective communication flow.
- Briefings, papers and follow-up – prepare, compile and quality-check briefings, presentations and decision papers, and track actions to completion.
- Workflow improvement and AI-enabled ways of working – support selected workflow improvement initiatives, including the practical use of AI tools to improve efficiency, coordination and information flow.
- Operational discipline and confidentiality – handle sensitive information with care and ensure activities are completed accurately, on time and in line with internal standards.
To be successful in this role you should have:
- Executive support experience – Strong organisational skills and the ability to manage a demanding diary, frequent changes and competing priorities in a fast-paced environment.
- Organisation and judgement – Excellent organisational skills and close attention to detail. Strong judgement, including the ability to anticipate needs, solve problems and stay calm under pressure. Ability to work independently and make sensible decisions within agreed boundaries.
- Communication and stakeholder management – Strong written and verbal communication skills. Confidence dealing with senior stakeholders in a professional and credible way. Strong interpersonal skills and the ability to build trust quickly.
- Planning, preparation and follow-through – Experience preparing meeting packs, presentations, briefing notes and action trackers. Strong follow-up discipline and the ability to keep multiple workstreams moving.
- Discretion and professionalism – High level of integrity and discretion in dealing with confidential information. Reliable, adaptable and professional in approach and behaviour.
- Digital and administrative skills – Strong working knowledge of common office tools, including calendar management, presentations, spreadsheets and document preparation. Comfortable using digital tools to manage actions, meetings, travel and information efficiently.
- Self-starting mindset – Proactive, strategic and capable of working with limited direction.
- Interest in markets and AI – Genuine interest in financial markets, front-office environments and how AI can be applied to improve workflows and business effectiveness.
