Gate and Accreditation Operations Manager

Responsible for the creation, implementation and management of the onsite accreditation system for 6000+ staff over a 6 weeklong event.

Responsible for managing a team of gate supervisors responsible for ensuring the smooth running of the public gates.

Key Responsibilities and Accountabilities

Accreditation

  • Responsible for the creation, implementation and management of the onsite accreditation system for 6000+ staff over a 6 weeklong event.
  • Manage and motivate a team of accreditation staff in printing, distributing and answering accreditation enquiries, for a large number of staff within a short time frame
  • To manage the day-to-day onsite running of the accreditation system and undertake all required administration to ensure accreditation supports the events safety and operational requirements.
  • Working with the Operations team, update and produce associated documents for the accreditation system including staff handbooks

Gate Management

 

  • To manage the day-to-day onsite running of the public gates.
  • To line manage a team of Gate Supervisors of public facing gates.
  • Forge relationships with key stakeholders both internal and external to facilitate a successful accreditation process.
  • Create and implement a strong communication plan informing contractors and staff on the accreditation process pre-event and during event.
  • Support the Senior Safety Operations manager in planning provisions of welfare facilities for gate management staff, ticketing staff and accreditation staff.
  • Support the Senior Safety Operations manager and Production Director in designing gate infrastructure
  • Support the Senior Safety Operations manager and Event Director in reviewing and planning for signage and way finding

 

Unusual Challenges or Circumstances e.g. shift(s)/ unsocial hours/ travel etc

  • Regular evening and weekend work during the winter period
  • Office based from start – 24th October, at least 3 days per week Tuesday - Thursday
  • Onsite at Hyde Park from 24th October 2022 – 13th January 2023. 2 days off a week. Hours vary.
  • Outside of event travel there will be a requirement to travel for meetings as part of the role.

Requirements

Knowledge and Experience

  • Experience of working in production in ticketed outdoor/greenfield events
  • Experience of working with freelancers, contractors, suppliers is highly desirable
  • Experience of managing an event accreditation system.
  • Experience of managing a team.
  • Experience in crowd flows and queue management

 Skills & Abilities (Personal and Professional)

  • A good humoured, enthusiastic, and positive leader who can motivate a team in difficult conditions.
  • Working knowledge of MS Office software, including Word, Excel, Outlook and PowerPoint.
  • Strong verbal and written communication skills
  • Ability to build long lasting working relationships with internal and external stakeholders.
  • Ability to self-direct and motivate and work with minimal supervision
  • A strong team player that is flexible dependent on business demand
  • Excellent time management skills, ability to work calmly under pressure whilst meeting deadlines
  • Strong organisational skills with the ability to multitask and prioritise in a dynamic working environment
  • An effective leader with strong people management skills and ability to excel in a fast-paced environment when handling contractors onsite.

Qualifications and Training

  • Educated to A Level, Degree or equivalent
  • A holder of IOSH Managing Safety or equivalent is desirable
  • Level 5 diploma and crowd management is desirable
