Senior Event Manager

As a Senior Event Manager, you will be part of a high-performing team to direct the strategic planning, execution, and evaluation of an array of events, demonstrating your expertise and seasoned Event Manager.

Your role involves crafting innovative event concepts, devising comprehensive event strategies, and overseeing all logistical elements, encompassing vendor management, budget oversight, and seamless execution. With your wealth of experience, you'll mentor and guide junior team members, refine event management processes, and continuously enhance our event offerings.

Responsibilities:

Event Planning and Coordination

  • Strategic Event Planning
  • Oversee multiple events simultaneously, ensuring consistency and quality across all.

Client Communication

  • Act as a primary point of contact for clients, understanding their requirements and ensuring these are incorporated into the event plan.
  • Provide regular updates and seek feedback to enhance client satisfaction.

Risk Management and Troubleshooting

Risk Management and Compliance

  • Ensure compliance with organizational policies and legal requirements in vendor contracts.
  • Mitigate risks associated with vendor relationships and vendor-related activities.

Risk Mitigation Strategies

  • Develop comprehensive risk mitigation strategies, considering various scenarios and their potential impact on events.
  • Communicate risk strategies to the team and stakeholders, ensuring understanding and readiness.

Emergency Response Planning

  • Establish clear protocols and plans for emergency response during events, including evacuation procedures and communication strategies.

On-site Event Management

Strategic Onsite Planning

  • Develop strategic plans for onsite management in alignment with overall event objectives.
  • Optimize onsite processes and workflows for enhanced efficiency and experience.

Post-Event Evaluation and Reporting

  • Provide strategic insights based on post-event evaluation data to enhance future event planning and execution.
  • Collaborate with the team to develop actionable strategies for improvement.

Budget & Financial Management

Budget Creation & Tracking

  • Develop event budgets in collaboration with relevant stakeholders.
  • Ensure adherence to the approved budget, making informed financial decisions throughout the event planning process.
  • Maintain transparent communication with stakeholders regarding financial matters, budget updates, and financial expectations.

Financial Strategy

  • Develop financial strategies to optimize budget utilization and cost-effectiveness.
  • Monitor revenue generation and identify strategies to maximize event profitability.
  • Collaborate with finance teams to refine budgeting processes.

Client Relationship Management

Strategic Client Engagement

  • Develop a strategic approach to client engagement, ensuring alignment with long-term Practice goals.
  • Review and assess client relationships to identify opportunities for growth and collaboration.

Client Account Management

  • Oversee the management of key client accounts, ensuring exceptional service and satisfaction.
  • Collaborate with the team to anticipate client needs and proactively address them.

Team Leadership and Collaboration

Team Empowerment

  • Empower and encourage team members to take ownership of their tasks and contribute their unique skills and expertise.
  • Foster a sense of ownership and accountability for successful event execution within the team.

Cross-Team Collaboration

  • Facilitate collaboration between various event teams (e.g., digital, demand, creative, strategy) to ensure a cohesive event strategy and execution.
  • Encourage interdisciplinary collaboration to optimize event outcomes and deliver a seamless experience.

Proposal & Pitches

Proposal Excellence

  • Ensure proposals maintain a high standard of quality and professionalism, reflecting the organization's brand and values.
  • Review and provide strategic input to proposals, offering insights to enhance their impact.

High-Level Pitches

  • Lead and participate in high-profile pitch presentations, representing the organization at a senior level.
  • Collaborate with the team to create compelling and persuasive pitch content.

Requirements

  • Preferable bachelor's degree or similar in Event Management, Business, Marketing, Hospitality, or a related field.
  • 5+years of experience/exposure amongst an agency within the Event Marketing Industry (Internationally) with proven experience at management level.
  • Preferable within the B2B Technology Sector.
  • Direct experience of managing and leading medium to large scale event experiences from brief to conception to completion, whilst being part of a team to produce larger more complex campaigns (in-person or digitally).
  • Demonstrated management abilities, including team management and collaboration, across either direct report, cross agency departments/practices, and onsite vendor staff/crew.
  • Excellent organizational and time management skills, with the ability to manage multiple projects simultaneously and prioritize tasks and meet tight deadlines.
  • A keen eye for detail, creative thinker, and problem-solver abilities to handle unexpected situations and find innovative event solutions.
  • Excellent interpersonal and communication skills to liaise, communicate with clients and vendors.
  • Strong teamwork and collaboration skills.
  • Ability to work in a fast-paced, dynamic environment.
  • Strategic thinker to be able to advise and optimise our clients event experience throughout the campaign lifecycle.
  • Familiarity with event industry trends, best practices, and emerging technologies/experience within Event Marketing to influence/inform the team and the Event Practice.
  • Proficiency in event management software's & platforms, project management tools, and Microsoft Suite.
  • Flexibility to work irregular hours, including evenings and weekends, to oversee events.
