The Role

We are seeking a highly organised and detail-driven Ops Assistant to support the daily operations of our fashion brand. This role will be responsible for collating and coordinating garment orders for the business, tracking deliveries, supporting production administration, and managing sample requests primarily to support e-commerce photography and content production.

Key Responsibilities:

  • Collate and process garment orders for the business accurately and efficiently.
  • Ensure all order information is correct, including product codes, quantities, delivery addresses and deadlines.
  • Maintain clear and accurate order records across internal systems and tracking documents.
  • Work with the production assistant in ensuring garment samples are ordered, processed and dispatched in line with brand timelines for ecom photography.
  • Track deliveries and shipments across couriers and suppliers to ensure timely arrival in conjunction with the warehouse shipping team.
  • Monitor delivery schedules and proactively follow up on delays, missing parcels or discrepancies.
  • Provide regular updates to internal teams on delivery progress and expected arrival dates.
  • Request garments required for e-commerce photography and product content creation.
  • Co-ordinate sample deliveries to ensure items arrive in time for scheduled photo shoots and liaise with ecom team.
  • Communicate clearly with suppliers regarding photography deadlines, sample requirements and urgent requests.

Requirements & Skills:

  • Strong organisational skills with exceptional attention to detail and confident in use of excel/google sheets for tracking and reporting
  • Strong communication skills with a professional and polished manner.
  • Ability to manage multiple priorities while maintaining accuracy and discretion.
  • Proactive, solutions-focused approach with the ability to work independently.
  • Ideally to understand fashion production timelines and sample processes.

*Please note this role is based 5 days in the office
