About the Role

We are seeking a highly capable and discreet Executive Assistant to provide dedicated support to the CEO and CFO, while also playing a key role in supporting the Non-Executive Board, Company Secretary, and external advisors. This is a high-impact position within a fast-paced, AIM-listed SaaS company, requiring exceptional organisational skills, governance awareness, and the ability to manage sensitive information with the utmost professionalism.

This is a hybrid role with 3 days per week based in our London Bridge office and the remainder remote.

Key Responsibilities:

Executive Support

  • Accurately manage and organize the calendars of the CEO and CFO.
  • Proactively arrange complex global travel itineraries, accommodations, and logistics.
  • Manage the CEO’s email inbox and social media accounts.
  • Coordinate logistics for leadership team meetings and CEO/CFO-led projects.
  • Assist in the creation of board packs, investor presentations, LT materials, and other high-level reports.
  • Monitor and prioritise internal and external communications, ensuring timely follow-up.
  • Act as a liaison between the CEO/CFO and key stakeholders.

Board & Governance Support

  • Coordinate logistics for Board and Committee meetings, including scheduling, setup (venue or virtual), and distribution of materials.
  • Work closely with the Company Secretary to prepare agendas, circulate minutes, and ensure governance compliance.
  • Accurately minute Board and Committee meetings as needed.
  • Help maintain governance records and compliance documentation aligned with AIM and best practices.

External Advisor & Investor Liaison

  • Serve as a coordination point between executives and external advisors, including legal, PR, and investor relations teams.
  • Support the preparation and distribution of investor communications, earnings call materials, and roadshow logistics.
  • Assist the CFO in managing the financial calendar and tracking key deadlines.

Project & Event Management

  • Take ownership of ad-hoc strategic initiatives, including research, project tracking, and stakeholder coordination.
  • Organise executive workshops, leadership offsites, and global team events.

Confidentiality & Professionalism

  • Ensure strict confidentiality in handling sensitive materials and communications.

About You

  • Proven experience in a similar EA role, ideally supporting C-suite leaders in a high-growth, listed, or regulated environment.
  • Understanding of corporate governance, board processes, and AIM regulations is highly desirable.
  • Exceptionally organised with excellent time-management and multitasking abilities.
  • Strong interpersonal and communication skills, with the confidence to work across all levels of the organisation.
  • Discreet and highly professional when managing confidential and sensitive matters.
  • Proficient in Microsoft Office Suite and collaboration tools like Teams, Zoom, and Slack.
  • Able to take initiative, work autonomously, and remain calm under pressure.
  • Bonus points for experience in SaaS, MarTech, or familiarity with board portals like Diligent.
