About the role:

We are a dynamic, solution-driven Facilities Management team with high-quality service at the forefront of everything we do. We’re looking for a motivated and experienced receptionist with a corporate background to provide first-class hospitality and front-of-house service standards. The ideal candidate will be a team player with great organizational skills, dedicated and committed to providing a welcoming and professional environment for all clients and visitors.

You will work a 37.5 hour week, with shifts between 8am - 6pm Monday - Friday and be required in the office 5 days a week.

Following your application being reviewed, you can expect the below:

Stage 1 - Introductory call with a Talent Specialist

Stage 2 - Getting to know and a short role-related interview with a Facilities Manager

Stage 3 - Role-related interview with our Director of Property and other facilities team.

Your responsibilities will include:

  • To provide a warm courteous and prompt welcome on arrival for all visitors at the reception desk.
  • To handle all incoming telephone calls / enquiries promptly giving a warm, courteous welcome.
  • Assist with meeting room bookings as required and to liaise with relevant parties to ensure the delivery of a professional service.
  • To liaise and communicate with the team and the wider business in a clear and timely manner..
  • To carry out regular checks of the office and meeting rooms to ensure correct set up and readiness for use, including rearranging furniture and room layouts as required.
  • To ensure the Facilities Manager is made aware of any maintenance issues requiring attention.
  • To anticipate people\\\'s needs, follow up with requests and ensure the expectations are exceeded.
  • To ensure that visitor arrivals are communicated to the relevant people promptly and that the visitor is escorted to the relevant room in a timely fashion.
  • Developing and maintaining a positive working relationship with Building Management, Project Stakeholders and contractors.
  • To replenish meeting rooms, as required with stationery, refreshments and all hospitality is served promptly and to the highest standards.
  • Responsible for checking all AV and Tech equipment and providing support when required.
  • To maintain appropriate stationery stocks throughout the office floors.

Requirements

  • Experience as a Receptionist in a corporate environment is desirable.
  • Approachable and enthusiastic, with close attention to detail, ability to juggle a range of tasks in a frontline role and first class customer service skills
  • Comfortable working within a fast paced and varied role at the heart of our business with a can do attitude, who is flexible, professional and proactive.
  • Effective communication abilities
  • Can operate calmly under pressure with a strong customer focus.
  • Able to demonstrate a professional and organised approach to the role.
  • Logical thinker, able to spot errors and resolve queries.
